About the role:

Accounts Executive, Payroll

Reporting to the Accountant, we are looking for a meticulous and detail-oriented Accounts Executive, Payroll to manage the hotel’s payroll system, ensuring the timely and accurate processing of wages in compliance with applicable tax laws and Four Seasons Hotel Singapore policies. This role requires knowledge of any Payroll software, strong technical expertise in payroll processes and accounting principles.

What you will do:

• Accurately input and process payroll data for the preparation of cheques.
• Review employee status changes and ensure correct data entry into the payroll system.

• Timely follow up/coordinate/communicate shipment information with internal and external stakeholders (eg. shipping lines, shipping agents, freight forwarders, suppliers etc)
• Work and Monitor Permit Declaration activity with permit declaration vendor for all current and new products
• Ensure all dangerous goods/hazardous cargo documents are in place and procedures are met
• Engage and initiate discussion with country and regional procurement on rates and space including source for the best freight quotation in terms of service and costs
• Follow cargo/shipment irregularity handling procedures, communicate all cargo related incidents (short shipment, damages, misrouted, missed vessel) and insurance claims.
• Verify commercial/payment invoices and raise disputes for incorrect invoices
• Maintain accountability and accuracy for updating and meeting deadlines for weekly & monthly reports
• Prepare packing list warehouse on incoming good inspection
• Validate and tally overseas Purchase Orders
• To follow up with warehouse for all incoming goods receiving, packing list and discrepancies
• Prepare monthly report on shipment activities
• Assist Manager to manage freight forwarders’ performance and cost saving measurement
• Executive and coordination of improvement projects
• Backup for the other team members as needed

Job Requirements

• Min. Diploma in Logistics, Supply Chain Management, Business Administration, Shipping or related field.
• At least 3 – 5 years of experience in Shipping Logistics Operations.
• Excellent knowledge in different functional areas of shipping such as HS code, Import/Export procedure, Customs clearance, Incoterms, L/C etc.
• Excellant in communication and interpersonal skills.
• Proficient in Microsoft Office applications such as Excel, Powerpoint, Words, etc.

About The Role

This position is part of the Student Services (SS) department within Office of Academic Services (AS) serving as the first point of contact for students and alumni and enhancing the overall student services of the University. SS manages the SS hotline, counter, written correspondences,and administration of Electronic Course Evaluation (eCE) surveys to foster a student centric service environment.
The candidate will support SS day-to-day operations, manage the SS Quality and Training related initiatives, assist with survey administration, and contribute towards the overall enhancement of SS service ecosystem.

What You Will Be Doing

Operations (30%)

• Monitor and supervise day-to-day student services operations, manage students’ enquiries, requests, and feedback across all touch pointsthat are received through channels such as phone, email, and walk-in.
• Manage a team of 2-3 officers and/or senior officers, providing guidance to team members on handling student feedback, especially forchallenging and complex situations.
• Identify issues/opportunities for improvement, highlight follow-up and participate in deployment of process improvements or enhancements.
• Collaborate with internal stakeholders (schools and other admin departments) to assess/investigate complex cases, appeals or exceptional requests from students and provide a satisfactory resolution within a stipulated/reasonable timeline.

Quality Assurance & Training (30%)

• Performs quality transactional monitoring.
• Compile and track performance at team and individual level.
• Support and maintain SS knowledge base (KB), FAQs and templates.
• Ensure all quality assurance tools, processes and procedures are properly documented.
• Administer monthly product quizzes to ensure a consistent level of product knowledge and understanding across the team and reduceincomplete/inaccurate information shared to students.
• Oversees training programs for existing staff, new hires, and temps.
• Monitor and review training programs and manuals to ensure that they are effective and up-to-date and makes updates as necessary.

Electronic Course Evaluation (eCE) Survey Administration (30%)

• Support the Manager and work with IT department to implement and ensure a smooth transition to a new course evaluation platform.
• Create, publish, and monitor course evaluation projects (questionnaires) from students.
• Build, manage, and automatically distribute course evaluation reports to stakeholders.
• Perform administrator duties to maintain the new platform and manage the access rights of various users onboard the eCE platform.
• Any other ad-hoc matters related to course evaluations administration.

Strategic (10%)

• Support projects, system enhancements and process implementation for systems/applications used by SS department.

Job Requirements

• At least 2 years of supervisory experience in customer service, preferably in a contact centre environment.
• Professional Qualifications in Contact Centre, Quality Assurance and Training (e.g., COPC, ACTA, etc.) will be an added advantage.
• Possess a good bachelor’s degree (preferably); but can be compensated with extensive experience in related field.
• Good written and communication skills, with the ability to influence and motivate colleagues on their improvement areas.
• Strong customer service mindset with good communication and problem-solving skills.
• Ability to rapidly assimilate complex information and make expert judgments/decisions under pressure in complex situations.
• High level of accuracy and attention to detail

Job Description

The Student Services (SS) Department would like to invite individuals who has a passion for Customer Service to apply for this role. The shortlisted candidate will be supporting the department in delivering efficient and effective services to our students via 3 contact channels (i.e. phone calls, emails and walk-ins).

• Handle and ensure student enquiries and feedback received via phone calls, emails and walk-ins at the Student Services counter are attended to and resolved within the Service Level Agreement.
• Work with various departments and schools to provide guidance and advice on programmes to students, and to assist on students’ requests.
• Maintain the Student Portal and ensuring information are up to date.
• Provide administrative support (i.e., stationeries requisition, department roster, prepare statistics and report, etc), and facilitate events and activities support.
• Assist with University-wide activities support.

Job Requirements

• Degree in any discipline (Diploma holders with relevant customer service experience will also be considered)
• Preferably bilingual in English and Mandarin as the incumbent is required to respond to queries in Mandarin for our Chinese programmes.

The Executive Chef is responsible for overseeing all aspects of kitchen and stewarding operations, including menu planning, food preparation, staff management, quality control, cost management, and ensuring compliance with health and safety standards. He/she is responsible for the maintaining of culinary standards and reputation of the establishment.

Primary Responsibilities

• Responsible for designing and creating menus that align with the restaurant's concept, target audience, and culinary vision. This involves creating new dishes, selecting ingredients, and considering factors such as seasonality, food trends, and dietary restrictions.

• Oversees and participates in food preparation, ensuring that dishes are prepared to high standards of taste, presentation, and quality. Also be responsible for specialized cooking techniques and handling intricate recipes.

• Responsible for recruiting, hiring, and training kitchen staff, including sous chefs, line cooks, and prep cooks. Provide guidance and mentorship to the team, ensuring a positive work environment, and maintaining high levels of productivity and professionalism.

• Manages all aspects of kitchen operations, including workflow, organization, and scheduling. Ensure that food is prepared and served efficiently, maintain cleanliness and hygiene standards, and monitor inventory levels of ingredients and supplies.

• Maintains strict quality control standards to ensure that all dishes leaving the kitchen meet the restaurant's standards. They taste and evaluate food regularly, monitor portion sizes, and provide feedback and guidance to the kitchen staff to maintain consistency and quality.

• Responsible for controlling costs in the kitchen, including food costs and labor expense, develop and manage budgets, negotiate with suppliers, and optimize the use of ingredients to minimize waste and maximize profitability.

• Collaborates with other departments, such as front-of-house staff and management, to ensure smooth operations and excellent customer service. Communicate effectively with the team, providing clear instructions and fostering a positive and collaborative work environment.
