Responsibilities
(1) Provide secretarial support to the Management:
・Schedule appointments and meetings
・Flight and hotel arrangements for business trips
・Ensure smooth execution of travel logistics, including preparing relevant documents and following up on any travel-related issues
・Report their schedule to Tokyo and other overseas offices
・Prepare their expanse claims
・Prepare documents for meetings
・Provide administrative support for their guests
・Serve as liaison for external meetings
・Arrange Company car driver’s schedule
・Arrange golf game and restaurant bookings
・Arrange telegram, flower stand, etc for ceremonial functions
(2) Serve as a liaison with company & other overseas offices :
・Update company internal website with appropriate Singapore office information
・Arrange accommodation and schedule appointments for visitors
・Serve as a liaison for hotel arrangement
(3) Administrative support to Asian Planning:
・Arrange business trip logistics for senior management from Head Office
・Manage logistics on the ground and treating visitor based on supervisor’s instruction
・Administrative work of Asian Planning department such as reimbursement, booking room, meeting schedule arrangement.
Requirements:
- At least 2 years experience in similar role, preferably in same industry
- Bilingual in both written and spoken English and Japanese to liaise with Japanese speaking institutional investors and stakeholders
