KEY JOB PURPOSE

The successful candidate will be part of our company and contribute to administrative and accounting activities. He/she will provide assistance to the corporate lab enabling the company and R&D staff to accomplish their R&D activities effectively and efficiently.

Account Role

- Manage full set of financial statements (Balance Sheets, P&L and cash flow) for two entities.

- Manage full set of account including vendor invoice processing, payment arrangements, journal entries, inter-company charges and GL maintenance

- Perform financial operations like checking of invoice, expense claim/reimbursement from employee

- Ensure accurate and timely monthly financial reporting, budgeting, forecasting and analysis.

- Fixed asset register, tracking and depreciation recordings

- Prepare prepayment, accrual and account payable list report

- Prepare yearly audit schedules

- Manage office supplies inventories

- Any Ad Hoc duties assign by management

Job Description:

Perform shipment arrangements from point of client engagement till the end of its business cycle.

- Work with and manage Clients’ expectations to fulfil shipment requirements.

-Liaise with respective Vendor partners; ensuring costs of shipment arrangements are in line with the business.

- Processing shipments via required administrative channels/systems.

- Work within organization’s network of partners to ensure actual shipment arrangement is completed.

- Perform billing and costing upon shipment completion.

- Provide periodic relevant reports

RESPONSIBILITIES

Business Continuity Planning:

• Assist in developing and updating business continuity plans to address potential threats to the organization's operations.
• Collaborate with key stakeholders to map critical business processes and establish recovery priorities.
• Support audits to ensure plans are regularly reviewed and updated to reflect changes in operations, technology, or staffing.

Risk Assessment:

• Conduct basic risk assessments under guidance, identifying potential vulnerabilities and proposing improvements.
• Prioritize identified risks and draft actionable recommendations for mitigation.

Emergency Response:

• Develop and oversee emergency response protocols and procedures to ensure a swift and effective response to crises.
• Coordinate with relevant teams to conduct regular drills and simulations for emergency scenarios.

Incident Management:

• Be part of the incident management team, contributing ideas and actions to reduce impact during disruptions.
• Support communication efforts to keep stakeholders informed during incidents.

• Bachelor's degree in business, Risk Management, Management, or a related discipline.

COMPETENCIES (KNOWLEDGE, SKILLS & EXPERIENCE NEEDED FOR THE JOB)

• Minimum 2-3 years in an administrative or operational role, with a focus on BCP preferred.
• Excellent written and verbal communication skills, with the ability to create clear and compelling
• Proficient in MS Office Suite (Word, Excel, PowerPoint).
• Highly organized, detail-oriented, and proactive in managing tasks.
• Team player with a collaborative mindset and strong interpersonal skills.

• Any internship or project experience in business continuity, risk management, or related areas is a plus.

What you'll be doing

• Oversee the team including managing of staff administrative matters such as staff's attendance, discipline and arranging of covering staff
• Providing comprehensive office management support to ensure the smooth running of the office
• Overseeing administrative tasks such as managing stationery and office supplies, maintaining filing systems, and coordinating meeting room bookings
• Assisting with event and client visit coordination, including catering, logistics and hospitality
• Responding to inquiries and requests from both internal and external stakeholders in a timely and professional manner
• Identifying areas for improvement and implementing efficient office management processes
