Job Responsibilities:

-Manage the front office at the Management Office and oversee its realization

-Assist Occupants in the booking of facilities and to monitor these bookings including providing reports

Job Requirements:

-Candidate must possess at least a Higher secondary/Pre-U/A level/College, any field.

-Able to speak and read Chinese in order to communicate in Chinese language to handle customers queries and request.

• Assist in daily sales activities, logistics, trade, and plant operations.
• Ensure smooth delivery of shipment by working closely with freight forwarders and overseas suppliers.
• Manage logistics operations and outbound shipment planning for products and destinations.
• Liaise with shipping agents.
• Maintain and update inventory records and costing.
• Other ad hoc job duties assigned.

Job Summary:
Singapore Ballet is seeking a passionate and creative Marketing Executive to join our dynamic team. This role will be responsible for developing and executing marketing strategies that promote our performances, programs, and initiatives, driving audience engagement, ticket sales, and brand awareness. The ideal candidate will have a strong understanding of digital marketing, content creation, excellent written and communication skills, and preferably, a passion for the arts

Key Responsibilities:

• Develop and implement marketing campaigns for performances, events, and outreach programs.
• Create compelling content for various platforms, including social media, website, email newsletters, and print materials.
• Collaborate with the design agency to produce marketing collateral (posters, brochures, ads, programme booklets, etc.).
• Manage and grow the organization’s social media presence across multiple channels.
• Monitor and analyze campaign performance, adjusting strategies to maximize impact and engagement.
• Drive PR initiative such as outreach to media outlets, influencers, and partners to secure promotional coverage.
• Maintain and update the website with relevant content and news.
• Manage marketing budgets and ensure cost-effective execution of campaigns.
• In charge of Front-Of-House during productions (e.g. recruitment of volunteers, planning of merchandise to sell, publicity of upcoming performances)

Qualifications:

• Degree or diploma in Marketing, Communications, Arts Management, or related field.
• Preferably 2 years of experience in marketing
• Strong proficiency in digital marketing tools and platforms (social media, email marketing, digital marketing, Google Analytics, etc.).
• Excellent verbal and written communication skills.
• Creative thinking with attention to detail and a passion for storytelling.
• Ability to work under pressure and manage multiple projects simultaneously.
• Strong organizational skills and a proactive, team-oriented attitude.
• Knowledge of the ballet and performing arts scene is a plus.

Media Buying (Offline and/or Online)

• The day-to-day media buying for the agency
• Deliver excellent master contract pricing through negotiation and relationships with media owners, wherever applicable
• Develop understanding of client business and role of online in delivering objectives ways of working from planning to getting approval and billing process
• Deliver added value opportunities across clients wherever possible
• Book all campaigns according to the brief (with confirmed media) and ensure financials are correct.
• Monitor campaign delivery and reconcile any under deliveries.
• Assist with auditing process across specific client base.
• Follow through the closed job for invoicing process (incl. (proof of ads, supplier invoices, TV reporting, signed schedule)
• Constantly monitor performance and delivery of ad server and vendor reporting. 
• Monitor and report on clients’ expenditure update by campaign by media, if needed
• Keep track of clients’ media master contract fulfilments.
• Work closely with Planners to ensure all the media plans are as per latest MOCO template and make sure all elements are incorporated.
• Prepare CI for all mediums and help Planners manage all material submission timelines.

Billing Admin

Manage the media billing processes which involves,

• Co-coordinating with media planning teams on billing instructions
• Processing billing instructions with finance/shared service teams
• Mapping vendor invoices against billing instructions
• Resolving billing discrepancies with relevant stakeholders e.g. media vendors, media, finance and shared service teams
• Billing status monitoring and reporting
• Media plan actualization and reconciliation on monthly basis. Support Planners to update the media plans based on actualized amount.
• Participate in finance WIP & Precision billing meetings to make sure Client's invoices get processed and meet billing timelines.
• Maintain co-ownership of WIP report with finance team, ensure that jobs are progressively reconciled and closed

Other billing requirements include,

• Support requirements for onboarding of new suppliers
• Ensure 100% billing completion before end of following month of activity
• Resolve/respond to client billing queries
