About the role

Performs administrative duties

• Supports the Aftersales Manager / Service Manager with administrative activities and paperwork

• Prepare documents for approval

• Monitor leave application for approval

• Monitor over time submission for approval

• Assists with all subcontractors PO / sublets

• Conducts follow up according to subcontractors’ last activity

• Ensures office supplies are sufficient and to order

• Safekeep uniforms and safety boots and coordinate ordering

• Knows the relevant KPIs for his or her target achievement

• Ensures the smooth cooperation between all interfaces

• Filing of all documents and scanning and archiving

Supports the warranty department

• Makes sure that all customer data are updated

• To submit warranty claims

• Take part in warranty disposal

• Ensures warranty documents are submitted on time and error free

• General administration of all warranty matters

Customer care with call centre and reception

• Liaise with call centre on customer requests

• Assist with CCR-S

• Assist with VOC scores and response rate

. Minimum 1 year admin or working experience .

• Follow up on feedback and requests for Service Assistant and Advisors

Responsibilities:

• Provide technical documentation of standard operational procedure and technical guides.
• Install and configure computer hardware, software, systems, networks, printers and scanners.
• Monitor and maintain computer systems, networks.
• Perform system administration tasks (software installation, configuration, software patching, system monitoring, performance tuning, capacity planning, and disaster recovery drills).
• Support service issues and requests which includes attending to emergency technical maintenance after working hours.
• Participate in providing new technology training to staff

Requirements:

• Minimum Diploma/Degree in IT & Relevant Disciplines.
• Experience in Ubuntu, Redhat, Lotus Notes, Cyberark administration, VMWare ESXi, Oracle is an added advantage.

DUTIES & RESPONSIBILITIES:

1) Scope:

• Business operation: Finance module
• IT system: Navision(current) and D365(future), also peripheral systems and interfaces are included.

2) Management:

• Organizing Business requirements: List up requirements from the viewpoint of daily operations, legal
  requirements including future situation, and prioritize those items with project members
• Organizing Business transition: coordinate with IT vendors, support the transition design, promote the
  transition tasks, and implementing quality management
• Lead to implement Company Standard Process (Global Template) to target companies
• Risk control: check risks, prepare countermeasures and contact and consider making the situation better
  with key persons
• UAT: create UAT lists, explain the contents of those to users and lead the UAT and complete the UAT phase
• Training: overall implementation of user training, including preparation and promotion
• Skill transfer: after the go-live, create documents, share those with target companies and IT vendor

3) Operations:

• WBS: create and maintain the list with IT vendors
• To Do & Issue list: create and maintain the list, monitoring the status of each task with IT vendors
• Meetings: set up and facilitate meetings and create meeting minutes
• Report: report to supervisors the project status and forecasts periodically in each communication channel,
  including budgeting and workloads
• Available to overseas business trip if project required

4) Others:

• Any other duties / Job scope assigned by superior or by Company

SPECIFICATIONS & QUALIFICATIONS:

• Education and Qualifications: Bachelor's degree or above in IT related field
• Practical Experience: At least 4-5 years relevant experience
• Professional Business Skills: Knowledge and skills for: IT areas of D365/Dynamics AX (to communicate with IT vendors). General accounting knowledge (to communicate with accounting staff)
• Interpersonal & Social Skills: Good interaction with people. Able to communicate concepts and ideas well. Strong written and verbal communications, Logical thinking. Able to work independently as well as work in the team
• Computer Skills: Basic skills of MS Office (Teams, PowerPoint, Excel etc.)

• Trouble Shooting (Damage Cargo, Billing Issues, etc.) (Airfreight / Seafreight /

• Coordinate with internal teams such as outdoor sales, operation, finance, and

customer service.

• Work alongside with outdoor sales with generating new business and maintaining

existing customer relationships.
