Role Description

This is a full-time on-site role for an Admin Assistant at Cogent Eastern Precision Pte Ltd. Driver - Responsibilities

The work scope for the above job title is as but not limited to the following:

1 The main task of the Driver is to drive the Company lorry to pick up workers, to or from site, office and dormitory etc.

1.1 The Driver must drive the vehicles to the required work sites punctually.

1.2 The Driver must follow the schedule or ad-hoc obtained from the Supervisors and Co-ordinator. The Driver must inform the parties involved if there are any clashes in schedule before proceeding.

1.3 The Driver must inform the Supervisors and Co-ordinator as soon as possible if he is delayed in his schedule. This will enable them to plan their resources efficiently.

2 Usage of Company vehicles

2.1 The Driver is to switch off the ignition completely and remove the key when the vehicle is parked and not in use. The Driver must not leave the vehicle in idle mode while waiting.

2.2 The Driver must understand that the Company’s vehicles and attached cash cards are solely to be for Company use. Otherwise, costs will not be reimbursed.

3 Safety

3.1 The Driver must drive and operate the vehicles in a safe manner in accordance to local laws.

3.2 If there are loads on the vehicles, the Driver must ensure the loads are properly secured in accordance with local laws and regulations.

3.3 The Driver must inform the Director or PIC immediately that he is involved in an accident while driving or operating the vehicle. This includes causing damage to third party property.

3.4 The Driver should understand that if the accident is caused by the Driver’s negligence, the Company is entitled to pursue part or all of the claims from him.

3.5 The Driver should also understand if he incurs any traffic offences due to his own negligence, the Company is entitled to pursue part or all of the claims from him.

4 Servicing and Maintenance

4.1 The Driver is to inform the Company if any of the vehicles are unsafe to operate and require repairs. The Driver must not operate the vehicles in such situation.

4.2 The Driver will drive the vehicle to the Company appointed workshop for servicing and maintenance. The Driver will also pick up the vehicle when servicing and maintenance is completed.

4.3 The Driver will drive the vehicles to Inspection Centres as required.

Job Scope:

• Prepare sales and purchase bills.

• Prepare payments to suppliers.

• Ensure the monthly accuracy and reconciliation of sales and purchase balances.

• Check the flow of sales and purchase invoices from third-party systems to our accounting system.

• Prepare monthly bank reconciliations.

• Prepare quarterly GST reports.

• Monitor the company’s cash flow.

• Support day-to-day administrative, sales, purchases, and accounting tasks.

• Collect business records for banking processes.

• Record and process all business transactions.

• Liaise with customers, suppliers, banks, etc., for information and payments.

• Perform other ad-hoc tasks as assigned, such as covering duties of staff on leave.

Responsibilities:

• Perform general store operations e.g. receiving, packing and shipment
• Ensure work schedules and documentations are completed in a timely and accurate manner
• Optimizing warehouse space and adopt good housekeeping
• Ensure inventory accuracy of stocks at warehouse
• Responsible for ensuring proper receiving and issuance of raw materials/products.
• Check and verify quantity and condition of goods received with delivery orders/invoices
• Ensure the storeroom is tidy, neat and clean at all times
• Perform other ad-hoc duties as assigned by superior(s)

Requirements:

• Good team player
• Minimum 1 year of relevant experience
• Conversant in simple English
• Forklift license is “A Must”

Job Responsibilities:

• Perform system data entries and related functions for customers and ”Internal Warehouse Management System” (iWMS)
• Coordinate with customers and internally for Operation and inventory-related matters
• Ensure all paperwork, system, and filing is completed on time and accurately
• Plan and follow up on Orders to ensure on-time delivery
• Maintain accurate and updated inventory records
• Generate accurate billing invoices, inventory reports, and related reports as per the required deadline
• Attend to customer inquiries and ensure all requests and issues are resolved
• Any other duties assigned

• Minimum O'level/N'level
• Positive attitude, detail-oriented, organised, and able to prioritise tasks
• Good interpersonal, communication and analytical skills
• Good command of English (written and spoken)
• Ability to work independently and under pressure in a fast-moving environment
• Able to work as a team player, pro-active, self-motivated and high sense of responsibility
