The Accounts Officer – Accounts Payable & Revenue Audit’s core responsibilities to support Accounts Executive in auditing day to day operations transactions, processing and timely payment of all hotel payments.

What will I be doing?

As the Accounts Officer – Accounts Payable & Revenue Audit, you will be responsible for performing the following tasks to the highest standards:

• Account for and audit all purchase orders, receive records and suppliers’ invoices (purchase invoices matching procedure).
• Ensure all invoices have proper supporting documents and authorization before processing payment.
• Prepare vouchers, including cost distributions and account codes for all suppliers’ invoices and credit memos.
• Balance suppliers’ monthly statements to the hotel’s accounts payable record.
• Answer suppliers’ and other parties’ queries relating to accounts payable.
• Ensure that Daily and Monthly Revenue and Settlement Reconciliation is prepared on a timely basis and all revenue is captured and reported.
• Review all entertainment dockets and officers’ checks, ensuring that all are authorized and signed with the appropriate level of detail.
• Verify transactions posted in the daily report, including but not limited to credit cards, city ledger, crew allowances, paid outs, allowances and rebates, miscellaneous charges, voiding, car park revenues, and room safe keys.
• Prepare rebate and allowance summary and rebate journal.
• Handle all requests and inquiries in a timely and efficient manner.
• Carry out any other reasonable duties and responsibilities as assigned by Accounts Executive.

Job Description

· Maintain full set of accounts (AR/AP/FA/GL), including preparation and posting of journal entries

· Perform daily and month-end account closing activities and bank reconciliations

· Responsible for the timely preparation of Management, Head Office, and Regulatory reports

· Experience in regulatory reporting (MAS1003 , MAS1015, AMR etc preferred)

· Preparation and filing of quarterly GST returns

· Liaise with internal and external parties on various accounting matters, including external auditors for year-end audit

· Involve in Budgeting and Forecasting exercises

· Assist in managing and updating the Bank’s accounting policies

· Other ad-hoc projects and responsibilities

Job Requirements

· Minimum Diploma in Accounting with at least 5 years' relevant experience in the financial industry preferably in the banking sector

· Prior experience in regulatory reporting highly preferred

· Proficient in Microsoft Office tools especially Microsoft Excel

· Experience in Microsoft Dynamics / Vermeg will be an advantage

· Good planning and organizational skills, able to work effectively with given timeline

· Meticulous with an eye for details

· Experience in enhancement / UATs / Projects is advantageous

· Strong communication skills (both verbal and written) and stakeholder management

· Ability to work independently and collaboratively as a team member

· Willingness to take on new responsibilities and challenges

Primary Purpose

Responsible for a variety of book-keeping duties, such as checking of invoices, sending invoices for approval, posting of invoices to Accpac system, and timely payment of all hotel invoices and disbursements, month end journal posting, and maintain proper files for accounts payable section, and assists in auditing.

Core Responsibilities

• Audit and process all invoices. Ensure all invoices are attached with IPS, POC, and/or other supporting documents, like delivery orders, service reports, work orders, etc. as appropriate and are properly approved department head and general manager for payments before generating computer or manual cheques.
• To ensure hotel only pays for goods and services which are bona fide purchases. Prepare prompt and accurate allocations of all accounts payable on a timely basis for posting.
• Make payment of all invoices according to the credit terms granted by the supplier; make prompt payment for those invoices with early bird discounts.
• Check all expenses reports, bank payment requests, cash payment requests or auto-payments to ensure that supporting documents are sufficient.
• Regularly check those Giro payments in bank statements and follow up with the original invoices and prepare necessary payment vouchers for posting of the transactions to Accpac system.
• Maintain a check log of all printed checks and all voided checks. Voided checks have to be signed off by the Accountant.
• Balance account payable ledger and reconcile with the General Ledger closing balance periodically and at month-end.
