Job Overview

We are seeking a highly organized and detail-oriented Vessel Accounts Executive to manage and oversee the financial records of vessel operations. This role requires ensuring the accuracy of financial transactions, timely reporting, and adherence to relevant regulations, supporting operational efficiency and financial compliance.

Key Responsibilities

1) Liaise with vessel captains to ensure that reports, including Portage Bill, Provision, and Slop chest Account, are in order. Maintain a summary record for reference.

2) Coordinate the arrangement of CTM (communications and transmission) connections.

3) Accurately record accounting information into the company's accounting systems, including MYOB and Jot ERP.

4) Prepare and complete detailed vessel reports, ensuring all supporting documentation is provided for audit requirements and processes.

5) Work with purchasing, technical, and operations departments to ensure that committed costs are properly coded and accounted for in the vessel accounts.

6) Ensure the timely preparation and submission of month-end accounts, including Profit & Loss (P&L), balance sheets, and deviation reports. Address any queries from vessel owners regarding these reports.

7) Raise fund requests for vessel owners, oversee receipts, and ensure budgeted OPEX is sent out by the 5th of each month. Follow up with non-OPEX fund requests, including completed reports with superintendent commentary and supporting details.

8) Respond to all relevant emails and inquiries regarding the vessels under your responsibility in a professional and timely manner.

Qualifications

1) Education: Minimum Diploma in Accounting, Finance, or a related field.

2) Experience: 2-3 years of experience in vessel accounting-related work

Responsibilities:

• Review and prepare monthly fund requests for vessel managers, updating the funds schedule.
• Conduct monthly vessel bank reconciliations.
• Verify monthly payroll entries.
• Check opening balances of onboard cash accounts, provisions, and bond stores.
• Ensure all onboard cash purchases have original receipts.
• Confirm all expenses are properly documented.
• Ensure expenses are correctly coded and approved by relevant managers.
• Verify insurance distributions.
• Check managers’ vessel balance sheet items monthly.
• Post necessary journal entries related to Owner-Manager disbursements and other financial adjustments.
• Prepare and submit monthly reports to vessel owners/stakeholders by deadlines.
• Ensure all supporting documents are complete and adequate.
• Perform other accounts-related tasks for technical management as needed, both within the company and with external technical managers and stakeholders.

Requirements:

• Diploma in accounting and/or finance or equivalent
• Minimum 2 years of working experience in a related field
• Proficient in MS office applications especially MS Excel
• Work experience in shipping industry will be preferred

Responsibilities:

• Deliver effective and efficient financial services to support clients’ business objectives and operations

Job Responsibilities

Project Accounting

• Manage Work in Progress (WIP) project costs and revenue.
• Perform WIP reconciliations between subledger and G/L and timely resolve any discrepancies. Reconcile and maintain project-related balance sheet specifications.
• Prepare WIP schedules and monitor project progress.
• Identify and flag variances between estimated and actual costs. Liaise with the project teams regarding cost control, issues to be resolved, provide (un)solicited insights and recommendations.
• Prepare and present weekly project related reports (i.e. manhour forecast, invoicing and open debtors).
• Perform accurate posting of project related (adjusting) Journal Entries.
• Apply appropriate revenue recognition methods (percentage-of-completion (POC), completed contract).
• Recommend improvements to project accounting workflows to enhance efficiency and accuracy.

Stock Accounting

• Monitor and reconcile inventory movements (receipts, issuances, transfers, and adjustments) to ensure accurate stock records. Flag up and resolve inaccurate stock records.
• Reconcile inventory accounts and resolve discrepancies between inventory sub-ledgers and GL balances.
• Perform stock-related journal entries (i.e. stock adjustments, revaluations, credits and claims).
• Monitor inventory costs to ensure alignment with budgets and cost objectives.
• Prepare stock schedules, maintain stock-related balance sheet specifications.

Routine (AR/AP/Claims/Cash)

• Handle full sets of the Accounts Payable (AP) function (80% of time) and Accounts Receivable (AR) function (20% of time).
• Processing batch and ad-hoc payments.
• Handle staff claims.
• Assist in handling bank/cash and other postings in the financial accounting system(s).

Period Close / Ad-hoc

• Assist in month-end / year-end closing tasks.
• Provide support during annual audit review.
• Any ad-hoc related matters as assigned and special projects.

Qualifications and other Relevant Knowledge

• Degree/Diploma in Accounting, Finance, Business, or an equivalent qualification.
• Accounting knowledge or willingness to develop.
• Proficient in MS Office applications.

Responsibilities

The Accounts Payable function for Acclaim Insurance Broker will include:

· Timely payment process to suppliers and compliance with company policies.

· Perform reconciliation to supplier’s Statement of Account to ensure accuracy.

· Update payment vouchers in accounting system and document management system.

· Handle suppliers’ inquiries regarding to payments, invoices and statement discrepancies, and other

issues.

· Conduct bank reconciliation and prepare adjustment journals for suppliers.

· Handle payments to insurer for reinsurance.

· Prepare payment for non-trade related suppliers and receipt for non-trade related incoming funds.

. Assist in month-end closing by ensuring that all expenses are accurately recorded and reconciled.

· Any other ad-hoc duties prescribed by supervison.
