Main Duties and Responsibilities

We are seeking a dynamic Accounts Payable to join our pre-opening team in Mandai Rainforest Resorts by Banyan Tree. As part of the pre-opening team, the incumbent will play a pivotal role in establishing and managing the financial setup for the Resort.

The incumbent will be responsible for ensuring the validity and accuracy of all invoices, and their appropriate allocation and timely payment. All invoices should be formally authorized and signed by each respective department head before the payment is processed. This will ensure that the person responsible for the ordering of the goods or service is aware that it has been provided and is satisfied with the amount.

• Any credit notes owed to the hotel for returns, price adjustment, etc. should be entered into the system and applied to the next payment made.
• To check the accuracy of expense account allocation and post into the financial system.
• To prepare system generated remittance advice, together with a system generated report summarizing the invoices and payments to be made, and cheques for the selected invoices due to payment.
• All invoices to be paid are matched to the remittances and the printed cheques and all documents are submitted to the Director of Finance and General Manager for review and signing.
• Paid invoices with all purchase documents, including a copy of the system generated remittance advice initialed by the cheque signatories, should be filed with all payments for the month.
• To raise and input urgent cheques to be paid.
• To post all Travel Agents commission invoices, and to prepare payment for Travel Agents in a timely manner and submit them, with their supporting attached for approval and signatures.

We are seeking a detail-oriented and proactive Account Executive to join our dynamic team at SolarGy, a leading Solar EPC (Engineering, Procurement, and Construction) company. The primary responsibility of this role will be managing the accounts payable process. Additionally, the Account Executive will provide support for general administrative and accounting duties, contributing to the efficient operation of the Finance department.

Key Responsibilities

Accounts Payable

• Process and verify supplier invoices, ensuring proper documentation and approval before payment.
• Maintain accurate records of all transactions and update the accounts payable ledger.
• Reconcile supplier statements with internal records to ensure consistency and resolve any discrepancies.
• Prepare and schedule payments, ensuring meeting deadlines to support project team.
• Assist with managing vendor relationships and responding to payment inquiries.
  
• General Accounting & Administrative Support
• Assist in the preparation of monthly and year-end closing activities.
• Support the Finance team with bank reconciliations, expense reports, and other accounting tasks as needed.
• Maintain organized financial filing systems and ensure proper documentation for audits and reporting.
• Assist in managing office supplies and other administrative functions to ensure smooth operations.
• Coordinate with project managers and other departments to gather necessary documentation for financial reporting.
  
• Other Duties
• Provide ad-hoc support to Finance Manager as required.
• Perform other administrative duties and tasks as assigned.
  

Qualifications & Requirements

• A diploma or degree in Accounting, Finance, Business Administration, or a related field is preferred.
• At least 2 years of experience in accounts payable or a similar accounting role, preferably within the construction, engineering, or energy sector.
• Experience with accounting software (e.g., QuickBooks or Xero).
• Good organizational skills and the ability to manage multiple tasks with competing deadlines.
• Strong communication skills, both written and verbal.
• Ability to work independently and as part of a team.
• Detail-oriented: Able to spot discrepancies and ensure accuracy in financial records.

1.1. Broad Functions:

The primary job responsibility of the Accounts Executive is to execute the financial operations, which includes handling day-to-day accounting tasks such as recording financial transactions, preparing, and maintaining financial statements, and reconciling financial records. The officer assists in budgeting and forecasting activities to support effective financial planning and decision-making

1.2. Job Description / Responsibilities:

1.2.1. Execute the daily accounting & costing operation

1.2.1.1. Follow SOPs in established AR & AP processes and perform the required data entry.

1.2.1.2. Check through all POs, verify goods received, process invoices and make the necessary payments.

1.2.1.3. Verify and match shipment records with the system to issue tax invoices to customers and book the payment received.

1.2.1.4. Perform any manual and ad hoc adjustment instructed by the accountant on GL and Fixed asset capitalization.

1.2.1.5. Clarify and reconcile discrepancies with vendors, internal stakeholders, and banking institutions to detect out of the norm and seek approval to make adjustments.

1.2.1.6. To stand in to manually compile costing data when costing machine breakdown.

1.2.1.7. Generate audit schedule and support audit information preparation.

1.2.1.8. Support in management and auditor reporting by helping with data compilation

1.3. Requirements:

1.3.1. Min a diploma in accounting or business administration equivalent

1.3.2. Min 1 year of AP experience

1.3.3. Knowledge of basic principles of AP/ AR and GL

1.3.4. Basic knowledge of MS Excel

1.3.5. Working knowledge of SAP system knowledge (good to have)

1.3.6. Good written and spoken communication skills.

1.3.7. Good stakeholder management skills to gain win-win result

1.3.9. Ability to withstand high-pressure environments to meet deadlines.

RESPONSIBILITY

· Full set of Accounts (eg: GL, AP, AR, Bank reconciliation, Payroll & etc)

· Plan, oversee overall accounting strategy

· Oversea accounting daily operation

· Responsible for AR/AP, cash receipt, GL, payroll, cash forecasting, revenue and expenditure

· Handling full spectrum of payroll from overtime & commission calculation to processing of employees salary

· Monthly CPF submission

· Quarterly GST Submission

· Monitor and analyses accounting data

· Regularly produce financial reports and statement

· Tax Computation

· Encourage other employee to adhere to standard

· Provide recommendations

REQUIREMENT

· Degree in Accountancy

· At least 2 year(s) of working experience in the related field is required for this position

· Preferable with knowledge of Accounting System

· Proficient in Microsoft Office

· Able to work independently
