Roles & Responsibilities

• Manage the full spectrum of GST accounts and record transaction data accurately.
• Prepare monthly reconciliation, financial reporting, closing statements, and manage AR/AP.
• Reconcile POS system transactions, including cash, bank, and credit card payments.
• Update fixed assets and depreciation records in accounting software.
• Prepare and review supplier payments, ensuring compliance with credit terms.
• Track and verify expenses, cash claims, and card usage submitted by outlet heads.
• Generate and maintain payroll and salary reports.
• Update attendance records, leave schedules, overtime, etc.
• Stay updated on MOM guidelines and implement changes as required.
• Handle general administrative tasks and other ad-hoc duties as needed.

Requirements

• Diploma or Degree in Accounting or related field.
• 3-5 years’ experience managing full-spectrum accounts, preferably in F&B.
• Proficient in English and Mandarin to liaise with cross functional team.
• Meticulous, organized, and able to multi-task efficiently.
• Independent, collaborative, and a good team player.
• Proficient in Microsoft Office (Excel & Word).
• Familiarity with Xero accounting, Zealys payroll, ePOS systems, and credit card portals.
• 5-day work week, immediate or short-notice availability preferred.

JOB MISSION

The Account Executive is responsible for supporting the Accounts team in managing client relationships, ensuring the timely delivery of projects, and contributing to the overall success of client campaigns. You will work closely with cross-functional teams to deliver high-quality service and achieve client satisfaction.

EXPECTED OUTCOMES

First 90 Days:

Familiarise Yourself with the Workflow and Accounts:

• Understand task distribution, approval processes, and collaboration methods within the Accounts team.
• Get to know the Design, Animation, and Content teams, understanding key contacts and processes.
• Study the playbooks and deliverables for the accounts you will be working on, ensuring a deep understanding of client goals, target audience, and brand identity.

Produce On-Brand, Compelling Content:

• Work with creatives to produce to high-quality content that aligns with client objectives and resonates with the target audience.
• Ensure all content is on-brand and meets the standards set by the playbooks and client deliverables.

Engage with Team Goals and Processes:

• Participate in team meetings and understand the team's overall goals and KPIs.
• Collaborate with accounts personnel within your team to ensure seamless integration and cohesive content strategies.

Participate in Organization-Level Activities:

• Engage in company-wide meetings such as huddles and town halls to stay informed about organisational updates and initiatives.
• Contribute to discussions and activities that foster a collaborative and innovative company culture.

Day-to-Day Expectations:

Client Relationship Management:

• Assist in managing client communications, ensuring their needs and expectations are met.
• Maintain accurate records of client interactions and project progress.

Project Coordination:

• Coordinate with internal teams to ensure timely delivery of client projects.
• Monitor project timelines, budgets, and deliverables, ensuring they align with client expectations.

Reporting and Analysis:

• Prepare regular reports on project status, performance metrics, and client feedback.
• Analyse project outcomes and provide recommendations for improvements.

Support on Shoots:

• Assist in producing shoots, including logistical planning and coordination.
• Help capture quick and simple photos or videos as needed for client projects.

Requirements

• Diploma or degree in Marketing, Communications, Business, or a related field

• Prepare and coordinate worker's work permit application / renewal / cancellation.
• Coordinate with clients for arrangement of site induction.
• Coordinate and arranging worker’s safety courses.
• Manage and follow up on Office Admin functions such as office supplies, equipment, facilities repair and maintenance.
• Preparation of company claim invoice and follow up on payments.
• Prepare and Maintaining the company accounts and GST filling.
• Manage and follow up on workers site working time card and preparation of Employee Salary.
• Preparation of workers’ Pay Slip.
• Other duties as assigned by management.

Working Location: Sin Ming Lane (15mins walk from Upper Thomson MRT)
Working Hours: Mon-Thu 9am-6.30pm; Fri 9am-6pm

Responsibilities:

Accounts

• Handle full set of accounts
• Prepare AP, AR and Journals
• Check, verify and process invoices, expense claim and reimbursements etc.
• Prepare GST filings and CPF submission

HR Admin

• Manage payroll administration
• Perform full payroll process and make necessary tax filings in a timely manner
• Implement and execute HR policies and procedures
• Responsible for all aspects of Work Pass matters
• Prepare paperwork, scheduling and facilitation of smooth on boarding and off boarding process
• Assist in administering benefits, compensation and any other relevant policies, schemes etc.
• Assist in swift updates of personnel database and any other related information within the internal HR system
• Greet office visitors, oversee telephone services, email correspondence, mail distribution
• Maintain office supplies inventory and office efficiency by arranging repairs
• Ensure timely payment and manage budget for any office related expenses

Requirements:

• Min Bachelor’s degree
• Min 5 years of accounting and HR admin experience
• Proficient in Advance Excel is a requirement
• Able to handle both English and Chinese written documents

Accounts Executive (AR)

Job Responsibilities:

• Ensure that all transactions are well documented.
• Responsible for the full spectrum of Accounts Receivable.
• Ensure accurate and timely processing of Goods Return Note.
• Coordinate local cheque bank-in and daily update of incoming funds to the NAV system.
• To ensure timely updating of customer accounts.
• Monitor and follow-up with customers on overdue account and arrange for debts collection.
• Reconcile Customer Collection with Bank Ledger.
• Responsible on monitoring monthly /weekly Debtors aging.
• Mailing of Statement of Accounts to customers and respond to their inquiries.
• Prepare Accounts Receivable monthly cash flow forecast.
• Preparation of Journal entries for accruals & other adjustment.
• Preparation of monthly and year-end Balance Sheet schedules.
• Liaising with internal and external auditors.
• Looking into strengthening current and process improvement
• Undertake ad hoc duties as assigned.
