Purpose of Job:

• Handle a spectrum of finance-related activities that include financial accounting and reporting, accounts payable, accounts receivable, asset management, audit and tax matters
• Participate in finance transformation projects

• Ensure accounts payable invoices, petty cash and staff expenses claims are accurate and properly coded via Prosoft.

• Ensure GST recognition is incompliance with IRAS e-Tax Guide.

• Generates electronics (online) payments to vendors, ensure cheques are authorized and in line with Group Policy and processes.

• Verify vendor creation forms with necessary documents required for New Vendor creation in ERP system according to Group Policy.

• Prepare and update vendors’ reconciliation on a monthly basis.

• Handling and resolving internal and external vendors’ inquiries and issues.

• Clear and reconcile unallocated payments in ERP systems promptly.

• Ensures completeness of balance sheet schedule on a monthly basis including reconciliation of payments, monitor accounts to ensure payments are up to date.

• Assist in AP month end closing and annual audit schedule (AP related).

• Other ad-hoc duties as required and/or assigned.

Education and Experience

RESPONSIBILITIES

• Report to Finance Manager and is responsible in the efficient and effective function in Accounts Payable.
• To ensure the creditor aging balance is accurate and reconcile with vendor statement.
• To ensure that the payment process is initiated on a timely basis.
• To collect and review all documents necessary for preparation of the payment run (purchase request, purchase order, receiving record, invoice, etc). Ensure the mathematical accuracy and completeness of the transaction before filing them by supplier name, awaiting payment.
• To prepare Payable Vouchers and initiate the payment process in a timely manner.
• To perform all Accounts Payable sub-ledger postings and to verify that Accounts Payable subledger and General Ledger balances agree.
• To maintain the filing system for creditors’ and ensure that on-hand outstanding invoices match with A/P ageing report as per the system.
• To perform monthly reconciliations between AP sub ledger accounts and supplier statements. To print a system generated payment summary and ensure the prompt payment of all invoices selected.
• Stamping all documents “paid” once the payment approval process is completed, to prevent the risk of double payment in the future.
• To properly monitor the issuance of payment and liaise with vendor on discrepancies.
• To pay and disburse petty cash to both internal and external staff members.
• Liaise with inter-related departments for accrual on end of month and year end closing

REQUIREMENTS

• Have at least 1 year experience in hotel industry
• Good knowledge of Microsoft Excel and Oracle is an added advantage.

Job Description:

• Ensure the accurate inputting/posting of accounting transactions on a day-to-day basis
• Prepare accounts schedules and workings for client use and audit purposes
• Prepare deliverables (management accounts / financial statements) for senior associate's review on a timely basis
• Prepare quarterly GST reports on a timely basis
• Review the payment vouchers prepared by Admin Assistants for payment administration services
• Complete any adhoc duty as assigned, example filling survey form or extract historical information as requested by client.
