About the firm

Virtus Law LLP ("VL") is a successor firm to “Arthur Loke LLP” which was established in Singapore in 1981. Virtus is in a formal law alliance ("FLA") with Stephenson Harwood LLP ("SH") established in March 2014.

Team structure

The alliance accounts team currently compromises of a team of nine staff – six for SH and three for VL. The respective teams are responsible for the processing and integrity of information relating to; purchase ledger; credit control; cashiering; billing and the preparation of daily, weekly and monthly reports.

Main responsibilities

We are seeking a detail-oriented and reliable Accounts Assistant to join our VL finance team. This role is responsible for handling various accounting functions, with a primary focus on accounts payable, regulatory authority reconciliation, vendor payments, financial reporting, and supporting audits. The ideal candidate will have excellent attention to detail, organizational skills, and experience with financial software.

The key responsibilities of the role include:

Accounts Payable:

• Verify the accuracy of invoices, including third-party invoices from vendors and other law firms
• Post accounts payable invoices for general vendors such as Marsh, Mercer, StarHub, Grab, and recharged invoices from the alliance offices
• Manage the weekly payment process, including sending office account payment instructions

Regulatory Authority Reconciliation:

• Reconcile transactions from regulatory authorities such as ACRA, CrimsonLogic, MPA, SAL, Lawnet, Stamp Duty, and PC deductions

Payments:

• Process vendor and supplier payments as per payment terms

Concur:

• Review and approve (1st approver) employee expenses in Concur and post approved transactions in alignment of office expense policy

Billings:

• Assist with billing for the MTO Finance, Corporate Finance, and Corporate Secretarial teams
• Provide backup support for other departments
• Handle reversal and reissue of bills (e.g., add/remove co-clients or payable-by parties)
• Follow up to clear any negative anticipated disbursements noted in matter files

Corporate Credit Card:

• Reconcile corporate credit card transactions across all company accounts

StarHub Ltd:

• Activate data roaming for employees and check the accuracy of related bills

Financial Reporting:

• Perform monthly bank reconciliation for Office USD account
• Assist in monthly AP reports printing and reconciliation
• Assist with year-end closing duties, including preparing accounts payable accrual journal entries, etc

Audit Support:

• Support the year-end audit process
• Manage accounts payable audit confirmation and prepare necessary audit working papers

Vendor Giro Form:

• Complete vendor forms, ensuring bank endorsement is obtained whenever required

Adhoc Support:

• Assist with miscellaneous queries and tasks from the Finance Manager/Office Manager

The Accounts Executive – Accounts Payable’s core responsibilities are audit, processing and timely payment of all hotel payments.

What will I be doing?

As the Accounts Executive – Accounts Payable, you will be responsible for performing the following tasks to the highest standards:

• Account for and audit all purchase orders, receive records and suppliers’ invoices (purchase invoices matching procedure).
• Ensure all invoices have proper supporting documents and authorization before processing payment.
• Prepare vouchers, including cost distributions and account codes for all suppliers’ invoices and credit memos.
• Balance suppliers’ monthly statements to the hotel’s accounts payable record.
• Answer suppliers’ and other parties’ queries relating to accounts payable.
• Prepare journal entries for month-end accruals and other adjustments.
• Prepare and maintain monthly balance sheet schedules for prepayments and accrued expenses.
• Carry out any other reasonable duties and responsibilities as assigned by Accountant.

Job Description

• Assist in the full spectrum of AR duties which includes invoice preparation, sales verification, month end closing and reconciliation.
• Prepare and process documents such as Invoices (Credit Terms & Cash Terms) & Credit Notes.
• Perform tracking & monitoring of collections & payments including updating of Aging list for dissemination to Sales team for follow up.
• Reconcile outstanding payments, billing disputes, discrepancy.
• Prepare & process Purchase Order (PO).
• Assist in the full spectrum of Stock duties which includes daily stock movement, monthly and year-end stock take.
• Ensure AR/AP/GL transaction into the accounting system timely and accurately

Accounts Assistant

The Accounts Assistant supports the finance team with daily accounting tasks, ensuring accurate record-keeping and compliance with regulations.

Daily/Weekly Duties:

• Handle calls, emails, and inquiries
• Prepare payment proposals (every Monday) and payment completions (every Friday)
• Process petty cash claims and vouchers
• Submit weekly sales report to the director (every Friday)
• Deposit cash/cheques as needed
• Collect and send mails/cheque payments
• File invoices, receipts, and other financial documents neatly

Monthly Duties:

• Review GSII report (every 22nd)
• Prepare school fees spreadsheet (by the 24th)
• Verify and process school fees (by the 26th)
• Issue invoices and receipts for all centres (by the 27th and 12th)
• Input Giro collections for school fees (by the 28th)
• Send payment reminders to parents (by the 7th)
• Submit mid-month P&L report (by the 10th)
• Upload and organize payment documents on GDrive

Yearly Duties:

• Submit documents for Year-End P&L and audit reports
• Prepare operational budget for all centres
• Review corporate tax report from WLP

Adhoc Duties:

• Prepare P&L for major events (e.g., Graduation)
• Handle other accounting-related tasks as needed

Requirements

● Minimum 1 year of Accounts or administrative experience.
