Additionally, the Account Executive will provide support for general administrative and accounting duties, contributing to the efficient operation of the Finance department.

Key Responsibilities

Accounts Payable

• Process and verify supplier invoices, ensuring proper documentation and approval before payment.
• Maintain accurate records of all transactions and update the accounts payable ledger.
• Reconcile supplier statements with internal records to ensure consistency and resolve any discrepancies.
• Prepare and schedule payments, ensuring meeting deadlines to support project team.
• Assist with managing vendor relationships and responding to payment inquiries.
  
• General Accounting & Administrative Support
• Assist in the preparation of monthly and year-end closing activities.
• Support the Finance team with bank reconciliations, expense reports, and other accounting tasks as needed.
• Maintain organized financial filing systems and ensure proper documentation for audits and reporting.
• Assist in managing office supplies and other administrative functions to ensure smooth operations.
• Coordinate with project managers and other departments to gather necessary documentation for financial reporting.
  
• Other Duties
• Provide ad-hoc support to Finance Manager as required.
• Perform other administrative duties and tasks as assigned.
  

Qualifications & Requirements

• A diploma or degree in Accounting, Finance, Business Administration, or a related field is preferred.
• At least 2 years of experience in accounts payable or a similar accounting role, preferably within the construction, engineering, or energy sector.
• Experience with accounting software (e.g., QuickBooks or Xero).
• Good organizational skills and the ability to manage multiple tasks with competing deadlines.
• Strong communication skills, both written and verbal.
• Ability to work independently and as part of a team.
• Detail-oriented: Able to spot discrepancies and ensure accuracy in financial records.
• Proactive: Takes initiative to improve processes and handle tasks efficiently.

• Report on teh status of accounts payable and receivable
• Invoice preparation and follow-up, financial statement reconciliation
• Update internal accounting databases and spreadsheets
• Responsible for management and budgeting of cash flows
• Review effectiveness of internal controls with respect to payment cycle
• Updating of cashbook and timely posting to teh General Ledger
• Assist in the monthly closing of accounts including preparation of accounting journals and quarterly GST filing
• Handle general office administration matters
• Assist in other ad-hoc projects as required
