Duties and responsibilities of the job

• Process accounts payable invoices matching and verifying with purchase orders, delivery Orders/goods receipts via Esker procurement system

• Ensure accounts payable invoices, petty cash and staff expenses claims are accurate and properly coded via Prosoft.

• Ensure GST recognition is incompliance with IRAS e-Tax Guide.

• Generates electronics (online) payments to vendors, ensure cheques are authorized and in line with Group Policy and processes.

• Verify vendor creation forms with necessary documents required for New Vendor creation in ERP system according to Group Policy.

• Prepare and update vendors’ reconciliation on a monthly basis.

• Handling and resolving internal and external vendors’ inquiries and issues.

• Clear and reconcile unallocated payments in ERP systems promptly.

• Ensures completeness of balance sheet schedule on a monthly basis including reconciliation of payments, monitor accounts to ensure payments are up to date.

• Assist in AP month end closing and annual audit schedule (AP related).

We are seeking a highly motivated and detail-oriented Finance Executive to join our client's dynamic team. The role will primarily focus on managing the AR process, including invoicing and collection.

Reporting into Assistance Finance Manager, the ideal candidate will oversee the efficient collection of accounts receivable, maintain accurate records, and ensure compliance with company policies.

This role requires a proactive approach to managing client accounts, resolving payment issues, and optimizing the AR process to improve cash flow.

Responsibilities:

Accounts Receivable Management

• Managing the AR process, ensuring timely invoicing and accurate customer account management.
  Monitor and follow-up on the outstanding invoices to minimize overdue accounts and ensure cashflow.
  Liaise with clients and internal operators to resolve payment discrepancies and expedite collections in a professional and efficient manner.
  Collaborate with AP team on cashflow projection.

Reporting and Analysis

• Generate weekly AR aging reports
• Update daily cash flow forecasts based on the latest information received from the commercial team, ensuring accuracy and alignment with operational needs.
• Provide actionable insights to management to support decision-making.

Compliance and Process improvement

• Ensure compliance with company policies, accounting standards and regulations.
• Assist in implementing best practices for AR management, credit control, and risk assessment.
• Identify and execute process improvements to enhance efficiency and accuracy in financial operations.
• Monthly Closing for Affiliated Company
• Manage financial closing process for the affiliated companies with a low transaction volume.
• Ensure accurate recording of transactions, account reconciliations, and preparation of yearly management report
• Collaborate with internal and external teams to meet reporting deadlines and ensure compliance.

Requirements

• Degree in Accountancy or professional qualification with ACCA or Equivalents
• Minimum 3 years of relevant finance experience
• Proficient in MS Office applications
• Able to work independently
• Strong analytical and problem-solving abilities, with attention to detail.

• Good communication and interpersonal skills

Job Scope:

• Handle general Accounting duties (issuing of cheque payments, invoices, delivery order, purchase order, bookkeeping);

Key Responsibilities

• Support a wide range of Accounts Receivable (AR) duties, including preparing invoices, verifying sales, managing month-end closing, and performing account reconciliation.

• Track and monitor collections and payments, updating the Aging List for the Sales team to follow up where necessary.

RESPONSIBILITIES

• Report to Finance Manager and is responsible in the efficient and effective function in Accounts Payable.
• To ensure the creditor aging balance is accurate and reconcile with vendor statement.
• To ensure that the payment process is initiated on a timely basis.
• To collect and review all documents necessary for preparation of the payment run (purchase request, purchase order, receiving record, invoice, etc). Ensure the mathematical accuracy and completeness of the transaction before filing them by supplier name, awaiting payment.
• To prepare Payable Vouchers and initiate the payment process in a timely manner.
• To perform all Accounts Payable sub-ledger postings and to verify that Accounts Payable subledger and General Ledger balances agree.
• To maintain the filing system for creditors’ and ensure that on-hand outstanding invoices match with A/P ageing report as per the system.
• To perform monthly reconciliations between AP sub ledger accounts and supplier statements. To print a system generated payment summary and ensure the prompt payment of all invoices selected.
• Stamping all documents “paid” once the payment approval process is completed, to prevent the risk of double payment in the future.
• To properly monitor the issuance of payment and liaise with vendor on discrepancies.
• To pay and disburse petty cash to both internal and external staff members.
• Liaise with inter-related departments for accrual on end of month and year end closing

• Have at least 1 year experience in hotel industry
