Overview

Our company is currently on the lookout for an experienced Admin & Finance Executive to provide financial administrative support to our companies. You will be working closely with and reporting directly to the Regional Financial Controller.

Main Responsibilities

Finance

• Handle partial set/ or full sets of accounting (AP/ AR/ GL)
• Responsible for daily bookkeeping, accounts receivables & payables functions and other related duties assigned.
• Performing administrative and clerical tasks, such as data entry, preparing payment vouchers, generating reports and statements, filing paperwork, and liaising with clients on payment matters.
• Maintain general journal entries
• Liaise with external accountants, auditors, tax agents, corporate secretary, bankers etc.
• Perform any other accounting/finance duties and responsibilities as and when necessary.

Administration (Ad-hoc)

• Ensure and maintain proper documentation of all finance, accounting and administration activities.
• Acting as the first point of contact when dealing with staff, suppliers and clients in terms of correspondence.
• Written communication including but not limited to drafting of documents or letters as and when necessary.
• Maintaining re-order level of office supplies, pantry, stationery, purchase of products and equipment, office maintenance etc.
• To provide administrative support to Management and ensure smooth operations of the Company.

Requirements

• At least 5 years of accounting working experience
• Familiarity in EXACT & Cargowise One, Microsoft Outlook, TEAMS, Excel or related ERP.
• Polytechnic diploma or bachelor’s degree in accounting, finance, Business Administration, Accounting or related field.

Our client is an FMCG goods wholesaler in Singapore.

Company transport is provided in Tuas MRT.

• Supervise the loading, off-loading of goods from shipping containers and stacking of the goods in the receiving and dispatching area.
• Tally all goods and match them with shipping invoices and packing orders to ensure the accuracy of incoming and outgoing shipments.

Requirments:

• At least 1 year of working experience
• Detail oriented and with special attention to accuracy and timely reporting.

Job Description

1. Objective
To provide support to the Accounts Team to ensure that the daily job

responsibilities are completed on time. (Request for urgent invoices

or payments are prepared without delay especially during monthly

closing period)

2. Customer Invoice preparation
a) Prepare sales invoices and draft email to customers for review.
b) Communicate with the ISR Team regarding inquiries related to

customer invoicing.
c) Send invoices to customers after review by Senior Accounts

Executive.

3. Vendor invoice preparation
a) Print out invoices from vendors in email for verfication.
b) perform 3-way match by matching invoices with purchase orders

and receiving documents.
c) Communicate with the Procurement Team regarding inquires

related to purchase orders.
d) Key-in of vendor invoices into the Business Central system.
e) Filling Documents
f) Ensure the accuracy of invoices and resolve discrepancies with

vendors ( if needed)

4. Vendor Payment Processing (if Needed)
a) Prepare and process payments to vendors through cheques,

electronic transfers, or other means.
b) Maintain payment schedules and ensure timely payments to

avoid late fees.

5. Perform any other duties as assigned.

Requirement

1. Minimum of 2 years of relevant experience

2. Proficiency in Microsoft Excel is required; experience with Business

Central is a plus.

3. Good communications skills.

4. Ability to work independently and resourcefully in a fast-paced

environment.

5. Willingness to commit to overtime work when required.

6. 3 days per week (9.00am to 5.30 pm)

• Handle accounts receivable claims and billing on insurance and CPF claims.
• Support in the general administrative for finance operations.

Requirements:

• GCE O Level and above.
• At least 2 years of accounting experience.
