Job Description: Accounts and Administrative Executive

We are looking for a meticulous and organized Accounts and Administrative Executive to join our team. The successful candidate will be responsible for managing various financial and administrative tasks to ensure smooth daily operations.

Key Responsibilities:

E-Invoice Management: Generate and process e-invoices on the NTUC portal.

Accounts Receivable (AR): Manage AR updates and knock-offs.

Cash Handling: Collect, count, and report daily cash collections.

General Journal and Payment Journal Entries

Mail Management: Check and manage incoming mail

Banking: Deposit cheques and cash sales as needed.

Cheque Records: Log cheques from drivers.

Accounts Payable (AP): Enter and reconcile invoices.

Document Management: Scan and save documents.

Expense Tracking: Track and report expenses for approval.

Vehicle Management: Handle administrative forms and cashcard topups for delivery trucks

And any other adhoc duties as assigned by Supervisor.

Requirements:

• Minimum Diploma in Accountancy or equivalent
• Strong attention to detail and accuracy in financial documentation.
• Meticulous, pro-active with positive attitude and willing to learn & work independently
• Proficiency in Excel
• Familiarity with platforms like Lark, NTUC portal and Microsoft Dynamic 365 is a plus.
• Good organizational and time-management skills.
• Ability to work independently and support cross-departmental tasks.

Salary to commiserate with experience

• Verify suppliers’ invoice with supporting documents (e.g. DO, PO etc)
• Arranging for payment to suppliers’

Job Requirements:

• Possess Diploma in Accounting or related field.
• Minimum 2 years of relevant experience in accounts receivable and accounts payable functions.
• Proficiency in the use of ERP accounting software and Microsoft Office Suite.
• Strong attention to detail and data accuracy.
• Ability to work well under pressure and meet deadlines.
• Good communication and interpersonal skills.
• This position may require occasional overtime during peak periods.
• Ability to adapt to changing priorities and multitask effectively.

Working hours: Monday to Friday, 8.00am to 5.30pm

Responsibilities:

• Managing, training, and evaluating accounts payable staff members.
• In charge of data validation, and processing of invoices to vendors and employee reimbursements.
• Maintain accurate and complete financial and client records.
• Compile, analyze, and report financial information to management and clients.
• Building and maintaining relationships with staff, clients and vendors.
• Ensures that systems, policies, controls and procedures adhere to company policies while functioning with accuracy and timeliness.
• Standardize procedures to generate efficiency in-house and create internal templates to be used by the company.

Requirements:

• Min. Diploma in Accountancy / Accounting / Banking & Finance, Business Management or related fields
• Min. 1-2 years’ experience in a Supervisory role
• Knowledge and prior experience of SAP would be an added advantage
