Key Responsibilities

• Support a wide range of Accounts Receivable (AR) duties, including preparing invoices, verifying sales, managing month-end closing, and performing account reconciliation.
• Prepare and process various documents, such as Invoices (Credit and Cash Terms) and Credit Notes.
• Track and monitor collections and payments, updating the Aging List for the Sales team to follow up where necessary.
• Reconcile outstanding payments, resolve billing disputes, and address discrepancies.
• Prepare and process Purchase Orders (PO).
• Assist with Stock Management, including tracking daily stock movements and managing monthly and year-end stock take.
• Ensure accurate and timely entry of AR, AP, and GL transactions into the accounting system.

Account Executive

• Do full sets of Accounts & GST submission, and handle administrative task;
• Prepare monthly reports and financial statements;
• Liaise with company secretary, banker, auditor, tax agency and relevant authorities for company related matters;
• Ensure all expenses are entered in accounting system using Microsoft Excel and XERO;
• Prepare quotations for construction contracts

HR and Admin

• Handle all work pass applications, issuance, appeal, renewal, and cancellation;
• Manage payroll and CPF, taxation for employees;
• Prepare letters of employment, confirmation, other HR-related documents etc;
• To do any other ad-hoc assignment given by Management

• Minimum Diploma in Accounting or equivalent
• At least 3 years relevant experience

Accounting Duties:

• Invoice Management: Create, issue, and track invoices to customers for goods or services sold on credit.

• Cost Control: Implement cost-saving measures and monitor expenses to optimize profitability.
• Vendor Management: Maintain vendor records, including contact information, payment terms, and credit limits.
• Invoice Processing: Verify and process vendor invoices, ensuring accuracy and compliance with company policies.
• Payment Processing: Schedule and process payments to vendors, ensuring timely and correct payments.
• Reconciliations: Reconcile vendor accounts and bank statements to identify and resolve discrepancies.

Human Resources Duties:

• Payroll Processing: Process payroll on a regular basis, ensuring accurate calculation of wages, deductions, and taxes.
• Time and Attendance Tracking: Manage employees' time and attendance records, including overtime, sick leave, and vacation time.
• Benefits Administration: Administer employee benefits, such as health insurance, retirement plans, and paid time off.
• CPF contribution Administration: Manage the company's employees' CPF contribution
• Compliance: Ensure compliance with CPF regulations and requirements.
• Work Pass Applications: Assist company to apply for foreign workers' work pass
• Work Pass Renewal and Cancellation: Manage the renewal and cancellation of work passes as needed.
• Compliance: Ensure compliance with MOM guidelines
• File Maintenance: Maintain accurate and up-to-date employee files, including personal information, employment contracts, performance reviews, and attendance records.
• Data Privacy: Ensure compliance with data privacy regulations and protect employee personal information.

Responsibilities:

• Maintain full set of accounting records for multiple companies.
• Processing sales data.
• Prepare monthly bank reconciliations.
• Work closely with external counterparties for completion of monthly/yearly closing.
• Provide reliable data for cash flow projections.
• Maintain Fixed Assets Register.
• Review AR/AP ageing with long outstanding balances and follow-up with appropriate actions.
• Assist in preparing quarterly GST reporting.
• Prepare monthly accounting schedules.
• Prepare year-end statutory reports.
• Liaison with auditors & external consultant
• Ensures compliance with local government requirements.
• Perform other related duties as assigned by immediate superior.

Qualifications/ Requirement:

• Basic Bookkeeping or Accounting qualifications.
• Minimum 2 years of relevant experience in accounting job, ability to maintain full set of accounts will be an advantage.
• Fast learner, positive attitude.
• Ability to multi-task.
• Good interpersonal and communication skills.
• Good written and verbal communication skills.
• A Hands-on person and team player.
• Proficient in MS Excel and common accounting software.

Remunerations:

• Working Days: 5 days’ work week (Monday to Friday)
• Working Hours: 8am to 5pm
• Annual Leave: 14days (for the 1st year), subsequently will increase 1 day and capped at 21 days
