Basic Function of Position:

Schedule meetings and manage calendars, besides answering phone calls, emails, and messages. Roles & Responsibilities:

The Temporary Accounts Assistant is primarily responsible for handling the full set of accounts for a few companies. To manage daily Accounts Payable, Accounts Receivable and General Ledger functions.

RESPONSIBILITIES

· Prepare journal vouchers for monthly closing purpose

· Prepare monthly audit schedules and clear the reconciling items promptly

· Prepare AR invoices, monitor receipts and update accounting system

· Processes accounts payable invoices matching and verifying with purchase requisitions/orders, delivery order/goods receipts

· Ensure accounts payable invoices and expenses claims are accurate and duly approved by relevant Head of Department

· Cheque issuance and electronics (online) payments to vendors and refunds to patients, monitor accounts to ensure timely payments

· Reconciling supplier’s statement

· Input invoices and payments into the accounting system

· New Vendor registration to the system, ensuring completeness of vendor master form

· Correspond with vendors/clinics and respond to inquiries

The Product Executive is primarily responsible for the marketing and sales of landscape products such as fertilizers and chemicals. The job holder is required to maintain relationships with customers by providing service support, information, quotations and recommendations of products.

CORE ROLES AND CRITICAL WORK FUNCTIONS

• Network to get sales leads (eg build relationships with building industry players and professionals), engage the prospects, understand their needs, recommend solutions and convert them to sales (covering landscape products such as fertilizers and chemicals)

About The Role

This position is part of the Student Services (SS) department within Office of Academic Services (AS) serving as the first point of contact for students and alumni and enhancing the overall student services of the University. SS manages the SS hotline, counter, written correspondences, and administration of Electronic Course Evaluation (eCE) surveys to foster a student centric service environment.

The candidate will support SS day-to-day operations, manage the SS Quality and Training related initiatives, assist with survey administration, and contribute towards the overall enhancement of SS service ecosystem.

Job Description

Operations (30%)

• Monitor and supervise day-to-day student services operations, manage students’ enquiries, requests, and feedback across all touch points that are received through channels such as phone, email, and walk-in.
• Manage a team of 2-3 officers and/or senior officers, providing guidance to team members on handling student feedback, especially for challenging and complex situations.
• Identify issues/opportunities for improvement, highlight follow-up and participate in deployment of process improvements or enhancements.
• Collaborate with internal stakeholders (schools and other admin departments) to assess/investigate complex cases, appeals or exceptional requests from students and provide a satisfactory resolution within a stipulated/reasonable timeline.

Quality Assurance & Training (30%)

• Performs quality transactional monitoring.
• Compile and track performance at team and individual level.
• Support and maintain SS knowledge base (KB), FAQs and templates.
• Ensure all quality assurance tools, processes and procedures are properly documented.
• Administer monthly product quizzes to ensure a consistent level of product knowledge and understanding across the team and reduce incomplete/inaccurate information shared to students.
• Oversees training programs for existing staff, new hires, and temps.
• Monitor and review training programs and manuals to ensure that they are effective and up-to-date and makes updates as necessary.

Electronic Course Evaluation (eCE) Survey Administration (30%)

• Support the Manager and work with IT department to implement and ensure a smooth transition to a new course evaluation platform.
• Create, publish, and monitor course evaluation projects (questionnaires) from students.
• Build, manage, and automatically distribute course evaluation reports to stakeholders.
• Perform administrator duties to maintain the new platform and manage the access rights of various users onboard the eCE platform.
• Any other ad-hoc matters related to course evaluations administration.

Strategic (10%)

• Support projects, system enhancements and process implementation for systems/applications used by SS department.

Job Requirements

• At least 2 years of supervisory experience in customer service, preferably in a contact centre environment.
• Professional Qualifications in Contact Centre, Quality Assurance and Training (e.g., COPC, ACTA, etc.) will be an added advantage.
• Possess a good bachelor’s degree (preferably); but can be compensated with extensive experience in related field.
• Good written and communication skills, with the ability to influence and motivate colleagues on their improvement areas.
• Strong customer service mindset with good communication and problem-solving skills.
• Ability to rapidly assimilate complex information and make expert judgments/decisions under pressure in complex situations.
• High level of accuracy and attention to detail
• Personal resilience and ability to perform effectively in a pressurized environment with a positive “can do” and “willing to learn” attitude.
