Facilities Management

• Conduct regular inspections of building facilities and equipment, identifying and reporting issues for resolution.

As a brand guardian and ambassador, this position plays a pivotal role in collaborating with internal and external stakeholders, including Regional Marketing, Retail, Merchandising, Purchasing teams, external vendors, and retailers.

• TRADE MARKETING:

• Be the key person in charge of trade and client’s activation, elevating the brand and client’s journey aligned with the brand guidelines, ensuring best-in-class identity and execution.
• Main POC for execution on all set-up, changeover, logistics management, vendor/ supplier’s liaison, and event management during the day of event. This execution involves close collaboration with Retail and CRM team.
• Ahead planning and detail planning for in-store retailtainment, festival changeover, trade activation that requires manpower or out-of-the-norm staging/ tear down period.
• Prepare in-store communications when required (physical or digitally, to be always ready for retail’s perusal and updated with the latest guidelines).
• Provide in-depth feedbacks, ROI, improvements for next events to elevate even better in upcoming events.
• Always in the lookout for competition and best practices to leverage on the trends in the competition within the market.

• VISUAL MERCHANDISING:

• Responsible for timely forecasting all VM tools, both centrally and locally sourced, during the budget period, and following up monthly on all POs creation and invoicing with accurate expense tracking.
• Prepare, adapt, and finalize planograms in line with regional guidelines and business strategy within the given timeline.
• Fulfil monthly planogram reporting activities and align with Regional Team feedback. Rectify in-action upon alignment.
• Responsible for the visual/video plan implementation, from vendor briefing to installation and invoicing.
• Regularly visit stores to control, improve, and provide feedback on all VM matters. Ensure monthly store and boutique pictures are lodged for safe-keeping to monitor counter maintenance, advance planning (if required), and capturing new VM changes.
• Actively propose solutions and initiatives to elevate the brand image and enhance retail sales through Visual Merchandising.

• HARD MERCHANDISING:

• Responsible for new counter openings, including budget ownership, commercial briefing, purchasing and invoicing processes, POSM ordering, counter setup, and opening reports.
• Ensure that the portfolio of doors is well-maintained according to VM standards through regular planned maintenance.
• Responsible and accountable for regularly updating and maintaining the Distribution and Merchandising database with relevant, up-to-date information on the Guerlain network and key competitors.
• Actively share competitive intelligence, including 360 trade, new visuals, launch POSM, renovations, brand in/out, updated floor plans, and best practices.
   

• REPORT / ANALYSIS

• Post-changeover report for review and update to relevant parties.
• Post-event report for every in-store or out-of-store events.
• On-time submission for all requested forecast/ quotation/ agreements with accurate understanding and sufficient knowledge prior to agreeing any of expenses requests (internally and externally).

POSITION DESCRIPTION AND RESPONSIBILITIES

Being a core member of the team consisting of executives and patient service associates

• Ensure all billing matters, insurance claims and payment collection are effectively and efficiently performed.
• Assist HOD in establishing, implementing and reviewing all relevant SOPs, workflows and policies.
• Ensure that quality customer services are provided by BO staff to all internal and external stakeholders.
• Assist in AR, credit services and bad debt management.
• Liaise closely with clinics, hospital’s finance department, relevant government entities and insurance companies on all BO-related matters.
• Assist with lifting, moving and transporting patients.
• Serve meals and remove meal trays.
• Assist Staff / Enrolled Nurses under supervision.
• Daily check on claims submission e.g. PMI, CPF, Govt Agencies etc.
• Follow up on any claims issues encountered.
• Rectify any erroneous claims rejected by the relevant parties, etc.
• To perform regular audit checks on patient collections.
• Perform admission process, bill estimation and data entry to filing of insurance claims forms and collection of deposits.
• Perform cashiering and payment collections of credit card, cash, NETS and cheques from patients and alert admission executive to variances in the Cashiering Collection Report.
• Handle customers’ queries pertaining to admission process and services provided.
• Prepare and send out Consolidated Invoices for Corporate Clients.
• Handle email and telephone enquiries relating to billing/payments, etc.
• Any other duties as assigned from time to time by management.

QUALIIFCATIONS/REQUIREMENTS

• GCE 'O' Level or equivalent
• 1 to 2 years of relevant working experience preferably in healthcare industry
• Team player with excellent analytical, interpersonal and communication skills
• Basic knowledge of accounting would be an advantage
• Proficient in Microsoft Office applications
• Good interpersonal and communication skills
• Preferably able to communicate in Chinese due to liaising with Mandarin speaking patients
• Must be able to do rotating shift work up to 12 hours (44 hours per week), include night shifts, Saturday, Sunday and Public holidays.

• Provides daily administrative support to the Marketing & Ops department
• Ensure proper documentation storage in both hard and digital copies.
• Assist in generating of report to the management for daily review
• Prepares meeting agendas and taking minutes of meeting.
• Assist and support the company in annual / regular audits by all government related agencies and company auditors.
• Ensure privacy are comply when handling of sensitive and confidential information.
• Assist in booking of event, venue, travel arrangement and setting up of venue for the company marketing activities and both internal and external event etc.

Resource Management

• Monitor and ensure proper allocation and utilization of office and clinical resources
• Ensure replenishment of medical supplies are done on the regular basis to equip operation with sufficient supplies.
• Conduct regular check and ensure all equipments and facilities are in good condition for office and clinical operations.
• Keep track on the maintenance records of equipment and liaise with vendor for regular servicing and calibration
• Assist in manging the IT asset inventory list and record.

Sales & Marketing Support

• Assist in daily tracking on responds to customers and their enquiries via various social media and google platforms
• Keeping track on the movenment of clinical appointments and patient turn-up rate for Management report
• Assist and participate in internal and external Marketing and Communication activities

Other

• Flexible to work in the weekend as and when required, e.g. events, facility maintenance, operations.
• Assist in any other ad-hoc duties as assigned by your superior

Requirements

• Minimum 2 years' related experiences in clinical operations or marketing administration.
• Possess good interpersonal skills and able to establish communication with all levels
• Proactive, Resourceful and keen to learn to enhance personal skills and knowlegdes.
• Must be competent in Microsoft Office and IT setting and setup
• Independent and able to work with minimum supervision.
