Job Description

• Responsible for full spectrum of HR & Admin function in recruitment, on-boarding, off-boarding, performance management, employee engagement & retention.
• Prepare letters/contracts pertaining to employee’s appointment, resignation, confirmation, promotion, transfer and other HR related letters
• To handle end-to-end work passes related issues such as work pass application, renewal, cancellation, appealing, expiration, follow up with medical check-ups, updating personal particulars to MOM, visa application etc.
• Processing and timely submission of Form IR21, NS make-up claims and all government paid leave claims.
• Administer employee benefits such as leaves, medical, dental, insurance etc.
• Ensure complete, up-to-date, accurate and accessible records are kept for all employees.
• Assist in the co-ordination of social and recreational activities to promote the general welfare of all employees.
• Coordinate performance appraisal cycle.
• To perform employee orientation, development, and training.
• Managing employee relations and to facilitate company-employee communications.
• Provide the necessary confidential administrative support for all human resource and office admin functions
• Perform general office administrative duties such as stationary / pantry requisition and maintenance of office equipment r facilities.
• Other ad-hoc HR & Admin duties & projects delegated from management and superior.

Requirements

• Candidate must possess at least a Diploma / Degree in Human Resource Management or any related field
• At least 3 to 5 years of working experience in HR and Administration.
• Well versed in Singapore’s Employment Act, labour laws and statutory rules and regulations.
• Meticulous, independent, and adaptable to change.
• Pro-active, resourceful, meticulous and results oriented
• Ability to work independently in a fast-paced environment
• Strong organisational and interpersonal skills

VOLUNTEER MANAGEMENT

• Explore, plan and management of all publicity efforts for volunteer recruitment and engagement initiatives and programs.
• Support in the attraction, training and retention strategies for volunteers to help the organisation stay updated on the needs and interests of our residents and the community
• Community outreach to find volunteers, assessing organisational needs and capacity for volunteers, monitor and evaluate the progress of volunteers.
• Establish and strengthen volunteers database via screening, interviewing and mentoring of existing/new volunteers to enhance their volunteering experience and reinforce their commitment and gratification level
• Organize and execute annual volunteer awards event, and provide administrative & logistics support for volunteer related activities, outings as may be required.
• Ensure all volunteers information is captured, stored and managed in compliance with Personal Data Protection Act.
• Administer the inventory of publications for all talks, road shows, events and outreach activities, including packing of such publications.
• Provide support for in-house and external talks, road shows, events and outreach activities.
• Manage volunteer database and prepare timely progress report on budget and statistics.Develop and maintain volunteer database to support in annual awards, recognition and training initiatives
• Other duties as assigned by Administrator

DONOR MANAGEMENT

• Support the Fundraising team to plan and execute fundraising strategies to raise funds and build visibility and awareness for LAMOAH
• Actively seek donors and partners to meet our yearly fundraising targets. This may include research, outreach and engagement with donors and stakeholders as well as administrative work to facilitate the operations of the
• Research and identify new partners, prospective donors and supporters
• Develop new events and activities to create opportunities for fundraising, outreach and to increase awareness for LAMOAH
• Create meaningful collaborations and long-term working relationships with existing and potential stakeholders
• Support fundraising events and communications

Job Summary

Reporting to the Sales & Gallery Support Manager, the incumbent will work at the Sales Gallery and receive guests arriving to attend the sales preview. He/She will also be responsible for guest check-in, customer service, guest confirmation, gift distribution, reporting, ensuring that effective costs measures are maintained as well as administrative duties.

Core Work Activities

1. Promote good working relationships between the Sales Gallery and all other departments, ensuring clear lines of communication are maintained.
2. Maintain a professional and high standards of appearance and demeanor.
3. Lead by example by maintaining high standards and professional leadership, inspire, motivate and be an active hands-on participant.
4. Assist the Sales Manager in the overall efficient operation of the Sales Gallery as well as generation of reports.
5. Respond to and manage in a timely manner any guest concerns or complaints in conjunction with any relevant departments i.e. Marketing, Customer Delivery.
6. Ensure all guests are greeted and registered in a timely manner, and that all gallery administrative support associates provide the highest level of guest service in their interaction with tour guests at all times.
7. Ensure that all cash operation accounts are regularly checked and audited and any discrepancies are immediately reported to the Finance department and Sales Manager.
8. Ensure that Sales Gallery facilities, property and assets are maintained to a high standard at all times.
9. Managing inventories and ordering and invoices of items in Gallery.
10. Completing reports required for sales and encore operations.
11. Any other tasks as deemed productive and required by the Sales & Gallery Support Manager/Assistant Gallery Manager and the Sales Manager.
12. To prepare welcome letters & deliver to hotels for Preview Packages overseas guests (when travel resumes)

13. Handling monthly auditing with Finance team.

14. Gallery administration tasks on adhoc basis as assigned.

Candidate Profile

• Candidates with diploma and above preferred, though not an essential requirement.
• Minimum 1-2 years’ experience in customer service and preferably in hospitality industry.
• Knowledge of English or Mandarin Language is essential as this role is expected to communicate to English or Mandarin speaking guests.
• Good Computer proficiency.
• Must be available to work the following working hours:

- Wednesday to Friday: 3pm to 11pm

- Saturday and Sunday: 10am to 7pm
