Responsibilities

• Oversee and manage multiple corporate secretarial clients’ portfolios including public listed companies.
• Handle full spectrum of corporate secretarial duties including company incorporations, preparation of directors’/ shareholders’ resolutions, opening bank accounts and change of signatories, etc.
• Prepare and review corporate secretarial documents and ensure clients’ compliance with government authorities and statutory requirements.
• Manage the smooth operations of Board Meetings, Audit and Risk Meetings, and Annual General Meetings for clients’ companies.
• Liaise with internal and external key stakeholders.
• Perform customers’ due diligence as required.

Job Requirements

• Diploma in any field with min. 3 years of relevant corporate secretarial experience.

Primary Responsibilities

Financial Management and Reporting

• Ensure full compliance with Charity Accounting Standards (CAS).
• Track monthly budgets, perform variance analysis, and ensure accurate financial reporting.
• Generate and consolidate monthly financial statements for all Centres.
• Prepare and present detailed management reports in PowerPoint for monthly meetings.

Audit and Compliance

• Oversee the preparation of audit documents and ensure timely submission of reports to relevant agencies.
• Facilitate the annual audit process, ensuring smooth execution.
• Conduct regular reviews and updates of ISO documentation and SOPs to align with current practices.
• Participate in ISO internal audits to maintain compliance standards.

Team Leadership and Process Oversight

• Lead and mentor team members, ensuring adherence to internal controls and accounting best practices.
• Review and manage the Fixed Assets register, coordinating physical asset checks.
• Verify and approve payments, petty cash claims, and bank reconciliations prepared by the Accounts team.

Accounts and Banking Operations

• Prepare monthly AR aging reports and coordinate follow-ups with Centre Managers.
• Liaise with banks and auditors to ensure seamless financial operations.
• Manage cheque signing processes and assist authorized signatories.
• Perform ad-hoc cash counts when required.

Additional Key Responsibilities

• Ensure effective month-end and year-end financial closing activities.
• Develop and monitor internal controls to safeguard the organization’s financial integrity.
• Drive continuous improvement initiatives in accounting practices and procedures.

Requirements

• Minimum 5 - 8 years of relevant working experience.
• Minimum Degree in Accounts, Finance, or equivalent.
