This key role will involve managing administrative, operational, and sales-related responsibilities to ensure seamless enrolment processes and to deliver a pleasant customer service experience.

Key Responsibilities:

• Front Desk Operations: You will be the face of the Centre, greeting visitors and answering phone calls. You will handle administrative tasks such as registration of new students, managing walk-ins, and responding to inquiries from parents.
• Sales and Enrolment Management: Develop and implement strategies to attract new students and increase enrolment.Conduct outreach to potential students and their families through various channels, including phone calls and emails. Provide information about our tuition programs, courses, and schedules to interested parents. Guide parents through the enrolment process, including registration, payment, and scheduling.
• Centre Management: You will be responsible for ensuring the smooth running of daily operations at the Centre. This may involve organizing schedules, maintaining the Centre's cleanliness and orderliness, and ensuring that supplies are adequately stocked.
• Customer Relationship Management: Build strong relationships with parents and guardians by addressing their inquiries and concerns promptly and professionally. Serve as the primary point of contact for parents, providing ongoing support and assistance throughout their child's enrolment. Maintain accurate records of student enrolment, attendance, and payments using our database systems.
• Administrative Support: Assist with administrative tasks such as scheduling classes, managing student records, and preparing reports as needed. Coordinate with teaching staff to ensure smooth operation of classes and timely communication with parents regarding student progress. Handle general office duties, including answering phone calls, responding to emails, and maintaining a clean and organized workspace.
• Reporting: You will be responsible for keeping the Centre Manager informed of any issues or concerns that arise. You will also be expected to provide regular updates on the Centre's performance, including enrolment and attendance.
• Collaboration: You will be workin closely with the Teaching & Curriculum Team to ensure that students receive the best possible education and support. You will be expected to communicate effectively with team members and contribute to a positive, collaborative work environment.

Requirements:

• Diploma or Bachelor's degree in Business Administration, Education, or related field.

Work locations and timings

• You will be required to travel between our various outlets (Bukit Timah, Lorong Chuan, Kembangan) based on roster schedule and commit to the work schedule of 3 weekdays and 2 weekends.

What this job involves:

Centralising all logs and requests

What we’re looking for is an expert who can effectively streamline processes and requests. Reporting to the facilities manager, you’ll provide superior call logging services—receiving and logging complaints containing complete details of the requests.

In line with this, you’ll tag each request with unique identity numbers to determine the nature of issues, and to dispatch them to the appropriate department. You’ll also follow up on the progress of each request by coordinating with respective assignees and monitoring their response time.

Furthermore, you’ll keep tabs on feedback and communicate with the requestor to ensure the closure of the task. You’ll also prepare daily and weekly reports on call status, as well as monthly reports on recurring calls. Assisting building management team in conducting analyses is also within your scope.

Performing other ad hoc tasks

As an expert in the field, you must be flexible in taking other responsibilities aside from your core tasks. Part of your mandate is to contribute to the monthly management report for our clients as well as minutes for meetings. Likewise, you’ll work closely with the team in processing invoices.

Likewise, you’ll be working side-by-side with both engineering and facilities departments in handling our contractors and developing operational procedures. Ensuring workplace safety is also within your scope. To do this, you’ll actively participate in health and safety reviews and identify potential risks. You’ll also participate in emergency evacuation procedures as needed.

Handling Stakeholders Management Administration

You play a key role as the gatekeeper to collate the records from the various processes of stakeholder management and ensuring they are smooth and hassle-free to the residents. This includes season parking, collection of maintenance charges, facilities booking, card access application, etc. Ensuring accurate and up-to-date reporting to the clients is a must. Maintaining good relationship with the residents is vital. You will need to communicate with stakeholders and advise on the house rules as well as support the organizing of community events and procurement of decorations to enhance the stay experience of our residents
