The HR and Admin Executive plays a vital role in managing and supporting the daily operations of the Human Resources and Administrative functions. This position involves overseeing HR processes, ensuring compliance with employment laws, and performing general administrative duties to support the smooth operation of the organization.

Responsibilities:

• Recruitment and Onboarding:
  • Coordinate and support the recruitment process, including job postings, candidate screening, and interview scheduling.
  • Conduct orientation sessions and facilitate the onboarding process for new hires.
• Employee Records Management:
  • Maintain and update employee records, including personal information, employment history, and benefits enrollment.
  • Ensure compliance with data protection regulations and confidentiality standards.
  • Submission of employees’ personal and income data e.g. CPF, IR8A, levy
• Payroll and Benefits Administration:
  • reparation of letters, forms, email correspondence, etc.
  • Assist with payroll processing and ensure accuracy in employee compensation.
  • Manage employee benefits programs, including health insurance, retirement plans, and leave management.
• Performance Management:
  • Support performance appraisal processes, including scheduling reviews and tracking performance metrics.
  • Address employee queries related to performance management and development.
• Compliance and Reporting:
  • Stay updated on labor laws and regulations, ensuring organizational compliance.
  • Prepare and submit reports related to HR metrics, employee turnover, and other relevant data.
• Office Management:
  • Oversee daily office operations, including managing office supplies, equipment, and facilities.
  • Coordinate maintenance and repair services for office infrastructure.
  • Renewal of employee & company insurance policies (i.e. WIC, FWMI, GHS, D&O)
  • All insurance claim matters; including but not limited to liaising with employees, brokers and medical institution on required treatment, claim documents, follow-up on claim status, etc…
• Administrative Support:
  • Provide administrative support to senior management and other departments as needed.
  • Handle correspondence, scheduling, and meeting arrangements.
  • Manage and co-ordinate all training activities including enrolment, payment request, disseminate course confirmation, etc…
  • Administrative duties including but not limited to grant application, vehicle notices, obtaining & evaluating quotations for corporate expenses, etc…
  • Support other team members when they are on leave
• Document Management:
  • Maintain and organize company documents, including contracts, policies, and other important records.
  • Ensure secure storage and retrieval of sensitive information.
• Event Coordination:
  • Assist in planning and organizing company events, meetings, and team-building activities.
  • Any other duties as and when assigned

Requirements

• High integrity when handling confidential information
• Candidate must possess at least Diploma in Business Studies/Administration/Management, Human Resource Management or equivalent.
• Minimum 2-3 years related experience
• Good command of English (spoken & written)
• Meticulous, highly organized and able to prioritise

ROLES AND RESPONSIBILITIES

As a business development associate, the position reports to the Head Of E-commerce; works closely with the Customer Service Manager and the Digital Media team.

Job Description

Managing marketplace platforms Sopify, Lazada & Shopee etc.,

Proceed daily online orders

Liaise with Warehouse dept. on picking, packing and deliveries arrangement

Liaise with customers on orders & deliveries arrangement

Serve walk-in customer and response to online customer enquiry via phone call or platform

Manage online daily sales promotion and campaign deals

Assist in internal and external audits for stock take

Prepare invoice, PO, DO and Packing list

Handle purchasing for order

All other comprehensive ad-hoc duties as assigned

Duties and Responsibilities

• To support the OSH program and make safety and health a part of their daily routine and to ensure that they are following safe work methods and relevant regulations
• General administrative support as required by members of Transport Dept. and management
• Liaise with customers or vendors related to procurement and administrative requirements
• Monitor vessel schedule vis PSA Portnet and Jurong port system.
• Declare permit via Trade web Live(permits)
• Manage customer orders and transportation requests within the TMS, ensuring accurate input and timely processing. Manage and address customer queries that are routed by TMS systems
• Retrieve and analyze data from TMS system and or other internal systems to address customer requests
• Coordinate with internal teams, carriers, and logistics partners to schedule pickups, deliveries, and transit times in accordance with customer requirements via the TMS.
• Monitor delivery status and information in real-time, providing updates to customers and stakeholders as needed via the TMS.
• Generate and analyze reports from the TMS to track key performance indicators (KPIs), such as on-time delivery, customer volume metrics and customer satisfaction scores.
• Serve as the primary user and administrator of the TMS for managing customer orders and deliveries
• Prepare documentation for lifting operation perform in Port facilities.
• Prepare documentation for cargoes clearance from Keppel distripark,Jurong port.
• Prepare and submit police escort application for Out of Gauge (OOG) Cargoes.
• Perform general administrative duties eg, Invoicing, Filing, mailing, faxing and photocopying

QUALIFICATIONS AND EDUCATION REQUIREMENTS

• GCE ‘N’ or ‘O’ levels
• 1 year administrative experience. (Preferred in logistics industry)

SKILLS COMPETENCIES

• Good communication skills (both verbal and written) and excellent organizational abilities.
• Familiar with PSA Portnet, Jurong Port system and trade Web Live
• Meticulous and attentive to details and follow ups

Working Conditions

5.25 Working days per week

1) Responsible for assigning correct fleet resources (tow trucks) to real-time and pre-scheduled job

2) Overall in charge of all Fleet (Tow Drivers and Lorry Drivers)

3) Monitoring and recording of staff fleet performance, attendance, discipline and management

4) Ensure daily,weekly and monthly KPIs are met and not limited to any task assigned by management
