Job Summary:We are seeking a highly organized and proactive Executive Assistant to support senior leadership and ensure smooth daily operations. The ideal candidate will possess strong communication, problem-solving, and multitasking skills to handle a wide range of administrative tasks efficiently.

Key Responsibilities:

• Organise board meetings and ensure relevant documents are distributed to the Directors and Stakeholders.
• Liaising with the Board of Directors & Stakeholders on meetings and announcements.
• Managing and drafting of all corporate confidential documents, inclusive legal agreements, engagement contracts, ACRA filing, meeting minutes, board resolutions, annual report. Meeting presentation deck.
• Compile and close monitoring of all statutory licences for the company.
• Support both the CEO & President on all administrative task and to follow thru with the relevant stakeholders timely.
• Managing the CEO & President’s calendar and to make travel plan, booking and meeting event appointment appropriately.
• Organized and co-ordinate on any company events when required.
• Arrange, co-ordinate and as the point of contact for visitors and statutory agencies visiting to site, inclusive receiving and networking with them.
• Other ad-hoc duties as requested by the Management.

Required Skills & Qualifications:

• Proven experience as an Executive Assistant or in a similar administrative role.
• Exceptional organizational and time-management skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent verbal and written communication skills.
• Strong attention to detail and ability to multitask effectively.
• Ability to work independently and prioritize tasks.
• High level of professionalism and integrity.
• Discretion with sensitive and confidential information.

Preferred Qualifications:

• Experience with project management software and tools.
• Familiarity with handling budgets or financial reports.
• Bachelor’s degree in business administration or a related field.

(a) Processing of sales orders in a prompt manner

(b) Issuing sales invoice and credit note

(c) Account for deliveries, resolve undelivered orders and stocks returned

(d) List and expand the products and offers onto e-commerce platforms

(e) Monthly analysis of e-commerce metrics in terms of service level, response rate and present recommendations to improve ratings

(f) Identify competitors and monitor their pricing and activities

(g) Overall liaison with respective e-commerce platform representatives

(h) Assist in the management of E-commerce warehouse assistants

(i) Assist in the management of sales admins

(j) Maintain and compile monthly reports

(k) Identify new products that add on offer

(l) Contact customers / vendors to answer their queries

Responsibilities:

• Coordinate purchasing activities for materials and services based on company’s needs
• Handle quotation, issue purchase order and maintain updated records
• Track orders and ensure timely delivery
• Update internal databases with order details
• Conduct market research to identify pricing trends
• Evaluate offers from vendors and negotiate better prices
• Vendor sourcing activities
• Prepare reports – Price evaluation report, expenses report and etc
• Performs other duties as assigned

Requirements:

• Good understanding of supply chain procedures
• Hands on experience with purchasing software
• Computer skills in Microsoft Office Suite (Word, Outlook, Excel and Power Point)
• Meticulous “eye” for detail and accuracy
• Min. 2-3 years of work experience
• Min. Diploma or Bachelor’s degree
• Able to create and administer a task priority list based on company’s needs
• Desire to grow, take on new responsibilities and establish yourself on our team

Other Information:

• 5 working days, Monday to Friday (8.00am to 5.30pm)
• Two ways company transport provided at Boon Lay & Pioneer MRT station
• Permanent Full Time role
