The Administrative Executive will be responsible for providing high-level administrative support to ensure the efficient operation of the HQ office, retail outlets, production, and business development activities. Key Responsibilities:

Office Management:

· Oversee the maintenance of office facilities, ensuring a clean and professional environment.

Requirements:

Functions and Responsibilities

· Support Operator / Marine Superintendent in maintaining / updating HSSEQ management system

· Arranging and monitoring the progress of vessel vetting inspections from initial request to final close out and approval, including communications to the vessel, oil majors, vessel agents and relevant internal departments

· Attend Marine Department meetings, record minutes and distribute as required.

· Assist with updating, checking and maintaining the OCIMF Vessel Particulars Questionnaires (VPQ), updating internal records, customer and other Marine databases (SIRE, Q88, SIS3, CDI) as appropriate.

· Monitor and review actual fuel consumption of vessels against budgeted consumption to ensure cost effectiveness.

· In any dispute against counterparty such as cargo damage or shortage, lay-time, underperformance and so on, to communicate for settlement based on charter party

· Clerical work such as filing shipping documents, entering voyage data into business applications.

· Assist with compilation of Insurance Claim documentation.

· Monitor and support all vessels on operational issues (Loading / discharging / tank cleaning / grade change) (Under guidance from Marine Supt)

· Assist with post fixture activities as required (Cargo documentation (BL’s / LOI’s, Cargo quantity issues, Additional Insurance requirements (AWRP / KnR) (Under guidance from Marine Supt as required)

· Bunker ROB / Requirements of the vessel. Including notification to charterers (if required) and Intake quantity + segregation onboard. (Under guidance from Tech Supt and advise from Master as required)

· Agency appointment (as required) on owners’ behalf.

· To monitor the speed & consumption of all vessels to comply with respective Charter party requirements.

Job Responsibilities:

• Identify and develop strategies and workplan to enhance and strengthen the Association’s brand
• Own, plan and manage content on corporate website and all social media platforms
• Plan, adopt and manage content on official social media platforms to ensure currency and vibrancy (eg. Facebook, LinkedIn, Instagram, Telegram)
• Plan, write and edit content for communications and e-newsletter to update donors, volunteers and partners
• Manage external communication effectively to build relationship, brand strength and awareness as well as influence opinions, funders, corporates, Governmental Bodies, community and general public on existing and new programmes or initiatives
• Oversee media relations and plan media events to ensure favorable and targeted media coverage
• Compile content and develop corporate publication such as the Annual Reports for submission
• Develop and update all corporate collaterals such as pull up banners, signages, brochures and display materials
• Assist Corporate Partnership team to organise fundraising and outreach events
• Assist in planning events and other activities
• Undertake any other duties as assigned by Manager and/or Deputy Executive Director

Job Requirements

• Experience: At least 2 years in communications, marketing, or public relations.
• Education: Diploma/Degree in Mass Communications, Marketing, Public Relations, or a related field.
• Skills:
• Strong command of English and Mandarin to facilitate writing, proofreading and translation work with Mandarin speaking associates

About the role

This is an exciting full-time opportunity to join Pivene Pte. Ltd. as an Order Processing Executive. Based in Pasir Panjang, Central Region, you will be responsible for efficiently processing and managing customer orders to support the company's sales objectives.

What you'll be doing

Order Management:

• Process customer orders accurately and promptly using the company’s ERP or order management system.
• Verify order details, including product availability, pricing, and delivery terms.
• Coordinate with sales and operations teams to resolve order discrepancies or issues.

Customer Communication:

• Liaise with customers on quotations, orders confirmation, delivery schedules, and any special requests.
