• Debts collections - Contact customer to ensure that their payments are made on time
• GST filing
• Prepare monthly sales commission and checking of incentives
• Handle any other ad-hoc hoc assignments and projects as assigned

Responsibilities:

Accounts Payable (AP):

· Ensure that all invoices are posted timely in the accounting system

· Manage vendor invoices by matching to Purchase Orders (PO), Delivery Orders (DO).

· Process claims, reimbursements and suppliers’ invoices.

· Handle bi-monthly payment cycle.

· Co-ordinate with respective account signatories for signing.

· Prepare accrual journals for month end reporting.

· Perform accounts analysis and audit schedules.

Other accounting/admin support:

· Assist in fund raising activities.

· Provide accounting assistance to SSA/Unit Leaders.

· Any other duties as assigned by supervisor and management.

Desirable Attributes & Qualifications:

· Certificate, Diploma or Degree in Accounting or equivalent.

· 2 – 3 years’ experience in relevant fields an advantage.

· Meticulous and diligent.

· Ability to work well in teams.

· Experience with accounting software.

Tuesday to Saturday, 9.00am to 6.30pm

Working hours: Monday to Friday, Office Hours

Responsibilities:

• Accounts Receivable

1. Issue invoices, credit notes, debit notes, inter-companies billing
2. Initiate recoverable activities for expenses paid on behalf and staff refunds
3. Record and post incoming receipts
4. File and update paid invoices
5. Generate age analysis and follow up on delayed payments, non-payments and other irregularities/discrepancies
6. Track outstanding billable milestones; work with PMs on estimated delivery dates/billings, earmark and follow up in the respective months for projected billing or deferment if not triggered by PMs
7. Communicate with internal and external stakeholders on billing queries
8. Follow-up with Telco and other service providers on refund for terminated service, etc

• Accounts Payable

1. Issue Purchase Orders (especially for general needs)
2. Download, 3-way match, save digitalized and post suppliers’ invoices/DNs/CNs
3. Prepare and process GIROs payments
4. Record and update cash book transactions daily
5. Obtain signatories and approval; process TTs and payments timely, create and submit online bank payment transactions; follow-up with authorized signatories to complete online approval
6. Reconcile suppliers’ Statement of Accounts and follow up on discrepancy, CNs and refund
7. Check, process and disburse staff claims timely
8. Process and update staff travel claims and spending
9. Follow up with requestors for long outstanding POs and obtain approval to close off unneeded Pos
10. Maintain monthly foreign currency hedging and cash projection requirements
11. Update telco contracts record and termination
12. Assist with new suppliers’ credit application; update suppliers’ payments detail in system and online bank payment master record
13. Calculate, pay and file Withholding Tax timely to IRAS C)

• Month-end Closing

1. Reconcile Intercompany and clearing account
2. Prepare and post monthly accruals, provisions and journals
3. Maintain and record Fixed Assets register; asset and serial numbered tagging; ownership movements (additions, depreciation, transfer and disposal); scan and maintain assets invoices, DOs and records
4. Prepare monthly bank reconciliation
5. Prepare monthly Balance Sheet and Profit & Loss Schedules

• GST – Prepare quarterly GST return; reconciliation and submission
• Annual audit – Attend to auditors and tax queries
• Assist in other ad hoc duties; complete and submit GIRO forms; draft service termination email/notice/letters.

Requirements:

• Min. Diploma/Degree in Accountancy or Accounting or Banking & Finance or any other related field
• Min 2-3 years’ experience in full-spectrum of Accounting duties including AR and AP
• Experience in IT industry handling accounts is a good bonus but not a must
• Experience in EPICOR/ERP System is an added advantage
• Ability to meet tight deadlines
• Good communication skills to liaise with multiple stakeholders
