Job Title: Counter Executive

Job Description & Requirements

Job Responsibility:

This role is primarily responsible to execute the day-to-day operation of the Seacabbie operations, under the supervision of the Operation Manager. This is a shift-based role, and involves interaction with the fleet, customers, vendors, and internal stakeholders.

This is a client facing role and is critical in maintaining an effective interface with our clients and serve as link between the client and boat operations.

Additionally, the role is also expected to promote our services to encourage the clients to provide bookings on our platform.

Job Accountability:

Boat Orders

• Monitor/make the bookings for the boat trips based on the client’s requirement as received on our booking platform. Ensure all customer’s orders / enquiries timely and accurately
• Co-ordinate the outsourcing of trips with the approved outsourcing boat vendors
• Handle and understand any client related issues with care and seek immediate guidance from supervisor / manager on duty as required.

Parcels/Off-land Items

• Receive and ensure safe storage of Off land items/parcels received from clients at the terminal (MSP/WCP)
• Follow-up with clients for collection of off- land items as required
• Ensure safe & timely dispatch of parcels to the vessels as per client bookings/instructions

Crew Operations

• Monitor the boat crew duty roster for attendance by ensuring clock-in/clock-out. When required, to coordinate the sourcing of replacement crew as per instruction of operation manager.

Operations

• Monitor the bunker requests and record remaining quantity (ROB) in liaison with boat crew by following the procedure if the boat needs to bunker
• Liaise with multiple parties including customers, agents, service providers boat crew, internal stakeholders to ensure timely and effective completion of orders
• Maintain event data, records, and all related information promptly & accurately in system
• Communicate discrepancies / issues to team supervisor / manager when necessary
• Governs proper handing over and taking over of duties during change of shifts

Self-Development

• Understudy the role of Operations manager and assist in tasks related to operation of fleet when time permits. This role is the first step towards developing the skills required for fleet operations

Miscellaneous

• Any other ad-hoc work instructions / administration duties from supervisor / manager

Educational/Skills Qualification:

Education/Experience

• Minimum Diploma in any discipline; Maritime transportation related qualification is advantageous
• 1-2 years of experience in a logistics coordinator/customer service or similar roles is advantageous

Shift Requirements

Job Description:

• Manage and supervise all activities related to laboratory testing, which includes maintaining laboratory equipment performance, developing operations, quality, and troubleshooting procedures
• Ensuring staff compliance; certifying instrument performance; arranging equipment replacement, service, and repair
• Capable of conducting laboratory tests, interpreting test data and preparing reports and summaries, which includes training and mentoring of lab staff, so that to be competent and comply with industry standards and safety regulations for handling and disposing of test samples

1) Full Set of Accounts Management:

- Responsible to manage and maintain the full set of accounts.

- Ensure accurate and timely recording of financial transactions.

Job Requirements:

• Diploma or Degree in Quantity Surveying.
• Minimum 4-years of relevant working experience in the Construction industry.
• Good with figures and an eye for details.
• Good oral and written communication skills.
• Ability to meet tight deadlines.
• Knowledgeable about construction materials and procurement methods.
• AutoCAD, Microsoft Office and Bluebeam
• Good knowledge in Building Construction Works, Singapore Contracts Law and regulations will be an added advantage.

Roles & Responsibilities

- Responsible with day-to-day invoicing, receipts & payments

- Assist with document collection, preliminary assessment and compilation

- Overseeing credit risk assessments, and ensuring timely collection of outstanding payments

- Communicate with clients to secure payment for overdue invoices, escalating issues when necessary

- Work with legal or collections agencies for accounts that require further escalation

- Screen phone calls, inquiries, and requests, and handle them when appropriate. Act as the primary point of contact for clients regarding credit issues, payments, and collections

- Work closely with both Sales and Operation team

- Assist in tracking the progress of specific projects, including deadlines, deliverables, and meeting schedules

- Organise and manage files, both physical and electronic, ensuring all documents are easily accessible

- Support month-end and year-end closing procedures, ensuring that all financial data is accurate and up to date

- Maintain a high level of confidentiality with sensitive personal or professional information

Responsibilities:

• Administer and configure infrastructure systems and applications (e.g. Active Directory Services, Data Centre, video conferencing, audio system, telephony, server storage, backup, etc.), network devices (Firewall, routers, VPN, internet proxy, wireless, etc.), desktop, mobile devices and other remote devices.
• Ensure systems are backed up automatically, recovery plans and disaster recovery plans and patches are carried out successfully and monitor the systems' resources usage closely.
• Liaise with external vendors to ensure Service Level Agreements (SLA) are met.
• Draft and update technical documentation such as administration & user guides.
• Provide technical support to both Local and Overseas branches' users over the LAN and WAN without compromising security.
• Source for products/solutions and vendors/suppliers for required projects.
• Provide L1/L2 support and participate as a team lead or member in projects.

• Diploma or Degree in Computer Science, Information Technology, OR/AND Certification in CCNA
• Minimum of one year of relevant experience
• Proficient in enterprise networking, including WAN, LAN, and VPN optimization implementation and support
• Skilled in administering Microsoft Server 2012 and later, Microsoft 365, and Google Suite products/services
• Familiar with internet architecture designs such as TCP/IP, DNS, DHCP, Proxy and Firewall
• Familiar with devices like Alcatel PABX, FortiGate Devices, Cisco and Unifi Wireless AP Controller
• Strong knowledge of CyberRisk and CyberSecurity; familiarity with PDPA is highly preferred
• Experience with Veeam, VMware, and UNIX/Linux is an added advantage
• Experience in API/Web Programming and Database Administration is an added advantage
