In this role, you will provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings and coordinating travel arrangements. You will also assist to prepare, compile and proofread presentation slides for meetings, manage budgeting, expense reporting and ensure smooth office operations.

skills and experience required
The ideal candidate should come with a Bachelor’s Degree, and have at least 5 years of relevant experience supporting C-suite level executives. Candidates with prior banking and finance working experience would be highly regarded. You should also possess excellent communication and interpersonal skills, and demonstrate a proactive approach to problem solving. This is a 1 year contract position.

Key Responsibilities

• Ensure bi-monthly or monthly procurement are carried out and source in a fair and objective manner in compliance with the procurement policies and ensure timely deliveries.
• Verify approval and information for all purchase documents before processing Purchase Order (PO) and approved by Executive Director (ED) and send out the approved POs to the respective suppliers via email or telecommunications.
• Ensure Purchase Request is approved by Executive Director before purchases are made.
• Monitors and review the consumption trends for medical and non-medical supplies.
• Check stock level to re-adjust the order or holding level as required.
• Participate and co-ordinate and provide inputs for the Home GPO / ALPS request for information to drive the cost containment strategies for the healthcare sector.
• Maintain an Approved Suppliers List.
• Do stock reconciliation exercise on a regular basis.

Job Requirements

• Diploma in Supply Chain Logistics or Inventory Management
• At least 3 to 5 years of relevant experience in Healthcare Sector preferred
• Good negotiation and communication skills
• Able to handle stress and last minute sourcing matter
• Proficiency in using MS Office and Navision
• Willing & able to take challenges and changes when needed
• To recommend process improvement for better productivity

• Answer and process all incoming calls via the switchboard, transferring the call to the relevant individual.
• Accurately record and promptly relay oral and written messages.
• Welcome and assistant callers and direct visitors in a professionals manner.

Job Responsibilities:

• Schematic Design Development: Assist in creating and preparing schematic design drawings for client review and approval, leading to a stage where other consultants can begin their preliminary and detailed design work.
• Green Architecture: Research and propose environmentally-friendly concepts in architectural designs, promoting the use of sustainable materials and equipment.
• Project Liaison: Collaborate with various stakeholders to gather project requirements and ensure alignment.
• Drafting Guidance: Support the Drafting Office in preparing drawings at different project stages and coordinate tender drawings and documentation.
• Government Submissions: Monitor and guide the Drafting Office on submissions to relevant government authorities, ensuring all approvals and endorsements are secured.
• Technical Coordination: Assist the Project Architect in coordinating technical matters and undertake additional tasks as required.
• Project Scheduling: Help the Project Architect prepare, monitor, and update the project schedule, submitting it to clients for approval.
• Meeting Participation: Attend consultants’ and site meetings with the Project Architect and assist in preparing meeting minutes.
• Submission Compliance: Coordinate schedules, check, and monitor the status of submissions to various authorities, ensuring compliance with their requirements.

WORKSCHEDULE: MONDAY TO FRIDAY 830AM TO 6PM

Responsibilities:

• Coordinate with internal and external stakeholders to plan shipments and execute contracts efficiently
• Monitor shipping progress to ensure timely and smooth delivery of commodity products
• Manage and organize shipping documents to optimize operational efficiency
• Handle bank-related processes, including payments and collections
• Prepare and maintain Accounts Payable (AP) and Accounts Receivable (AR) reports

Requirements:

• Minimum Diploma in Logistics/Warehouse Management or a related field.
• Minimum of 1 year of relevant experience in Logistics and Supply Chain.
• Proficient in MS Excel, with strong accounting knowledge and attention to detail.
