Project Accounting

Period Close / Ad-hoc

JOB DESCRIPTION

A company in healthcare manufacturing industry is currently looking for an AP Accounts Executive to join their expanding team.

Reporting to the manager, the incumbent will be responsible to manage daily AP operations, cash management, process monthly invoices and key invoices into the system, preparing and process payment, assist with month end closing, AP reconciliation, and resolve issues related to AP invoices.

The role will include some portion of AR as well, where the incumbent will be responsible to manage AR balance, process receipts, resolve discrepancies, maintaining accurate records, and following up with invoices.

REQUIREMENTS:

• Diploma in Finance, Accountancy, or equivalent
• Minimum 2 years of relevant working experience
• Experience or exposure with AR function is good to have, AP experience prioritized
• Proficiency in both English and Mandarin language as the role requires to communicate with the China branch
• Previous experience with handling Sage software is preferred

Job Descriptions

Accounting

- Full set of accounts (AR, AP, GL and bank reconcilation).

- Prepare Invoicing, debit and credit note and payment.

- Responsible for timely and accurate processing of payroll.

- Submission of monthly CPF Contribution.

- Generate monthly financial statement in a timely and accurate manner.

Admin

- Handle all adminstrative duties relating to HR matters and claims.

- Maintain employees personal records, overtime, attendance and leave records.

- Handle employee and vehicle insurance, etc.

- Any any ad hoc duties as assigned by the directors.

- At least 2 to 3 years of experience in keeping full set of Accounts is required.

- Familiar with Accounting, payroll software & MS Office.

Job Description

The Accounts Executive will manage financial transactions, prepare management reports & GST reports for the clients, and ensure compliance with accounting standards. Requirements:

• Bachelor’s degree in accounting, ACCA or equivalent.
• At least 2 to 3 years of relevant working Experience.

• Proficiency in Accounting Software: - MYOB, Autocount, Xero and Microsoft Excel are essential.

Responsibilities:

• Prepare monthly, quarterly, and annual management /financial statements and reports.
• Record and reconcile financial transactions, including accounts payable and receivable.
• Assist in budget preparation and financial forecasting.
• Assist in internal and external audits by providing necessary documents and reports.
• Liese with clients on their accounts

Responsibilities:

• Accounts Receivable duties include generating invoices, delivery orders, credit/debit notes, and statements of accounts.
• Follow up on outstanding AR invoices and track project maintenance and billing milestones.
• Update receipts and maintain AR files.
• Prepare timely aging reports and escalate collection issues to the Reporting Officer.
• Address billing and payment queries with internal/external stakeholders.
• Perform GST output tax reconciliation, month-end closing, and prepare monthly schedules.

• Proficient in Microsoft Office, highly analytical, and detail-oriented.
• Strong work ethic, able to thrive in high-pressure environments.

Responsibilities:

Accounts Receivable

• Issue invoices, credit/debit notes, and inter-company billing.
• Initiate recoverable activities for expenses and staff refunds.
• Record and post incoming receipts; file and update paid invoices.
• Generate age analysis and follow up on overdue payments and discrepancies.
• Track outstanding milestones and collaborate with PMs for timely billing.
• Address billing queries with internal and external stakeholders.
• Follow up with service providers for refunds.

Accounts Payable

• Issue Purchase Orders and match supplier invoices.
• Process GIRO payments, update cash book, and obtain signatories for timely payments.
• Reconcile suppliers' accounts, handle discrepancies, and process staff claims.
• Close long-outstanding POs and maintain foreign currency hedging projections.
• Update telco contracts and assist with new suppliers' credit applications.
• File and pay Withholding Tax to IRAS.

Month-End Closing

• Reconcile intercompany and clearing accounts.
• Prepare accruals, provisions, and journals.
• Maintain fixed assets register and perform related documentation.
• Prepare monthly bank reconciliation and balance sheet schedules.

GST

• Prepare quarterly GST returns and reconciliation.

Audit & Other Duties

• Assist with annual audit and respond to auditor and tax queries.
• Handle ad-hoc tasks like service termination notices and system testing.

Requirements:

• Strong accounting knowledge and Microsoft Office proficiency.
• Experience with EPICOR/ERP systems is a plus.
• Ability to meet deadlines and manage detailed tasks.
• Proactive, independent, and a good team player.
• Excellent interpersonal and communication skills.
