Accounts Payable

Monitor and ensure data of inventories/ invoices/ vendor particulars are input into the Accounting System.
Ensure all documentations are well received, invoices tally with delivery orders and ensuring payment are promptly issued within credit term.
Generating of payment vouchers and issuance of cheques.
Ensure payment are immediately entered into the Accounting System upon payment.
Proper filing and book keeping.

Accounts Receivable

Generating invoices accordingly to certified payment.
Follow up on accounts receivable with relevant clients.
Ensure timely collection of payment.
Keeping proper documentations and paper trail regarding related AR matters.

Monitoring of Project

Generate weekly (WIP) Work-in-progress report to reflect revenue, COGS, labour costs and other operating expenses to derive the profitability of the week.
Ensure timely and justifiable certification of payment are provided by Clients.
Keep track of progress claim status and Accounts Receivable.

Finalization of Project

Generate report to reflect the statistics of man-hours/ COGS/ operating expenses and update to system for future reference.
Finalize payment and keep track of retention amount and time frame.
Final settlement of payment and record project reference into “Completed projects”.

Administrative Duties/ Others

Generating of invoices, payment vouchers and other related documents.
Ensure neat and tidy book keeping.
Assist with issuance of wages to workers and breaking down into the appropriate monetary denominations.
Fulfil any other ad-hoc duties as and when assigned by Superior/ Management.
Reimbursement to employees / Petty cash.
Generate weekly reports for Management review. (Progress Claim status, WIP and Accounts Receivable)
Handle GST quarterly report and filing, Form C-S/C submission.
Liaise with auditors for statutory reporting and compliance.

We are seeking a highly organized and proactive Accounts cum HR Executive to join our dynamic team. This dual-role position combines financial expertise with HR management, ensuring smooth operations across our retail and e-commerce channels. The ideal candidate will manage accounting tasks, HR functions, and sales reporting, including e-commerce platforms such as TikTok, Shopee, and WordPress, as well as retail sales from distributors.

Key Responsibilities:

Accounting Functions:

1. Bookkeeping and Financial Records:Maintain accurate and up-to-date financial records for all business activities.
   Record daily transactions, process invoices, and track expenses.
   
2. GST Reporting and Compliance:Prepare and file quarterly GST reports, ensuring compliance with local regulations.
   
3. Sales Reporting:Compile and analyze sales reports from e-commerce platforms (TikTok, Shopee, WordPress).
   Collect and reconcile sales reports from the retail segment, including distributors.
   Prepare consolidated sales performance reports, identifying trends and key performance metrics.
   
4. E-Commerce and Retail Operations Management:Track and reconcile revenue, payments, and inventory movements across e-commerce and retail channels.
   Monitor and analyze Cost of Goods Sold (COGS), inventory levels, and margins for all sales segments.
   
5. Corporate Tax Preparation:Compile and organize financial documents, including company purchases and invoices, for corporate tax submissions.
   Liaise with tax consultants and auditors to ensure accurate filings.
   
6. Purchases and Inventory Management:Manage company purchases and ensure proper documentation of invoices and receipts.
   Oversee stock levels, inventory valuation, and coordinate with the operations team to ensure accurate inventory management.
   
7. Payroll and Financial Reporting:Prepare and process payroll, ensuring compliance with statutory requirements (CPF, income tax, etc.).
   Generate monthly financial reports, including profit and loss statements, balance sheets, and cash flow analysis.
   

Human Resource Functions:

1. Recruitment and Onboarding:Assist in job postings, candidate screening, and interview scheduling.
   Handle onboarding processes, including contract preparation and employee orientation.
   
2. Employee Records Management:Maintain and update employee files, HR databases, and manage attendance and leave records.
   Process claims and benefits administration.
   
3. Policy Implementation:Support the development and implementation of HR policies, ensuring compliance with local labor laws.
   
4. Employee Engagement and Welfare:Assist in initiatives to improve employee engagement and retention.
   Coordinate team events, training programs, and wellness activities.
   

Qualifications and Requirements:

• Education: Diploma or Degree in Accounting, Finance, Human Resources, or related field.
• Experience:Minimum 2-3 years of experience in accounting and HR, with exposure to managing retail and e-commerce operations.
  Experience handling platforms like TikTok, Shopee, WordPress, and working with retail distributors is essential.
  Familiarity with accounting software (e.g., QuickBooks, Xero) and HR systems is a plus.
  
• Skills:Strong knowledge of GST reporting, corporate tax preparation, and payroll management.
  Proficiency in analyzing sales reports, managing COGS, and tracking inventory.
  Excellent organizational, analytical, and communication skills.
  Ability to multitask and work independently in a fast-paced environment.
