The Senior / Executive, IT / Cybersecurity (ITCE) will assist the Senior Manager (IT) to plan, implement and manage organisation-wide IT infrastructure and IT-related systems in Vanguard. The ITCE will render IT operational support which includes the provision of IT services, troubleshooting, managing IT assets, IT procurement etc. He/she will also coordinate and work with both internal and external stakeholders to ensure that the IT systems can provide associated IT services to our residents and staff.

· Manage day-to-day IT operations of Vanguard entities. These include:

Responsibilities:

Accounts

Collect documents (invoices, receipts & etc) from hotel and ensure documents are complete and accurate.

Follow up with the hotel if there are missing or incomplete documents.

Enter collected documents and their details into accounting system and verify that all information is accurately reflected in the system.

Process vendor invoices, perform matching to ensure proper documentation and prepare payments to vendors

Maintain full set of accounts for hotel (revenue reconciliation, bank reconciliation, AR/AP Ageing report, and etc)

To prepare for monthly accounting journal entries

To ensure proper filing of accounts documentations and supporting documents.

Assist in payroll processing for hotel staff, including calculating hours worked and managing deductions.

Prepare financial reports specific to hotel operations, such as daily revenue summaries

Perform any other accounting/finance duties and responsibilities as and when necessary.

Keep Track of staffs leave record

Maintain office supply inventories, arrange of courier, scanning and filing of document

Adhoc duties will be assigned

Requirements:

· Minimum ‘Higher Nitec /Dipolma

· Basis accounting knowledge will be added advantage. Prior experience in a similar role within the hospitality industry is highly valued.

· Able to multi task and work efficiently. Strong organisational skills and attention to detail.

· Required skill(s): Microsoft Office

Job Description

1. Download daily bank statements and Prepare weekly AP report

2. Prepare weekly AP report

3. Create new entries in ACCPAC (customer, vendor names, GL Code of vessels/voyages,etc)

4. Data input of AP interco-billing in ACCPAC system.

5. Check and post data entries in ACCPAC system.

6. Process and update invoices received

7. Liase and follow up with company branches on vendor SOA

8. Perform monthly closing of accounts

Job Requirements

- Good understanding of accounting principles

- Knowledge &/or experience in Accpac accounting software will be an added advantage

- Proficiency in MS-Office applications

Key Responsibilities:

• Financial Management: Maintain accurate and up-to-date financial records, including bookkeeping, accounts payable, and receivable.
• POS Software Management:Regularly tally sales data from the POS software across all outlets.
  Ensure accurate recording of daily transactions and resolve discrepancies promptly.
  Generate and analyze sales reports from the POS system.
  
• Monthly Reporting: Compile and submit comprehensive monthly financial reports, including sales performance, expenses, and cash flow, to management.
• Payroll Management: Calculate and process payroll, ensuring timely payment of employees and compliance with statutory requirements.
• Taxation and Compliance: Manage GST submissions, CPF contributions, and ensure compliance with Singapore’s accounting and tax regulations.
• Vendor Relations: Handle payments to suppliers and service providers, reconciling accounts as needed.
• Inventory Coordination: Work with the team to track and record stock levels for financial reporting.
• Process Optimization: Recommend and implement improvements to financial processes and systems to increase efficiency and accuracy.

Working Hours:

• Monday to Friday: 10:00 AM to 3:30 PM

Qualifications & Skills:

• Diploma or Degree in Accounting, Finance, or a related field.
• Minimum 2 years of experience in a similar role (experience in retail or service industries is a plus).
• Familiarity with POS software and its financial reporting capabilities.
• Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite, especially Excel.
• Strong understanding of Singapore tax laws, GST, and CPF regulations.
• Excellent organizational skills with the ability to meet deadlines.
• High attention to detail and accuracy in financial reporting.
• Strong communication and interpersonal skills to collaborate with internal teams and external stakeholders.

Marine Technical Executive

Location: Penjuru

Salary: $2,800 - $3,500

Working days: Monday - Friday

Working hours: 8:30am – 5.30pm

Responsibilities:

• To assist in the overall management and technical operations of the Marine Fleet that includes the preparation, review and management of all technical documentation, vessel certificates, maintenance records, compliance records etc.
• Providing the necessary administrative support and coordination for any vessel inspections, repairs and docking works.
• Assist in liaising with customers on technical and operational matters that inclusive of vessel performance, etc
• Attending to vessel docking, repairs and surveys when requires and carry out supervision on any contractors' repair / maintenance works on board the vessel.
• Monitoring the technical status of vessel in term of Class certificates and surveys and ensure that all statutory certificates, equipment certificates, etc, are properly maintained, documented and up to date.
• To identify and source for technical and operational supplies required for the vessel's need. Coordinate with the suppliers for timely delivery to the vessels.
• Monitoring and controlling of the vessels consumables to prevent unnecessary wastage.
• To keep track of the vessels LSA, FFA, cargo hoses registry, lifting gears registry and PPE of all shipboard personnel.
• Appointed as safety committee member to carry out tool-box meetings for all the vessels and attend to vessel inspections.
• To work closely with the HES team to ensure smooth implementation and compliance of company's safety and quality standards
• To assist in investigating any defects / failures occurred and reporting all vessels incidents, near misses to prevent and eliminate any potential incidents
• To assist in maintaining crew records that inclusive of certificates, training, medical checks and coordinating in crew changes.
• To undertake any other technical related tasks and assignments as and when required.
