Ain Society is looking for a dedicated and versatile executive to assist in the administration and management of our facilities across three centers, working closely with our admin team on administrative matters, as well as assisting our IT consultant in providing IT support to all staff. The ideal candidate will have a strong administrative background, preferably in administration and/or IT support, demonstrating excellent organizational, problem-solving, and communication skills.

Key Responsibilities

Office and Facilities Administration:

• Work closely with the admin team to perform administrative duties.
• Maintain accurate records of all physical and fixed assets, including acquisition, allocation, maintenance, and disposal, using our asset management online system.
• Regularly inspect facilities to ensure they are properly maintained and accounted for.
• Assist in developing and implementing policies and procedures for facilities management, ensuring compliance with relevant regulations and standards.
• Coordinate with vendors and service providers for facilities/asset procurement, maintenance, and repairs.
• Work closely with our outsourced IT consultant to perform various IT solutions, including addressing hardware and software issues in a timely and efficient manner.

Project Management and Other Duties:

• Assist in the planning and execution of special and adhoc projects and initiatives.
• Assist the logistics team for event logistics and materials preparations.
• Ensure events are executed smoothly as and when required.
• Any other duties as assigned by the Management.
