JOB DESCRIPTION

Accounts Payable

• Monitor and ensure data of inventories/ invoices/ vendor particulars are input into the Accounting System.
• Ensure all documentations are well received, invoices tally with delivery orders and ensuring payment are promptly issued within credit term.
• Generating of payment vouchers and issuance of cheques.
• Ensure payment are immediately entered into the Accounting System upon payment.

Accounts Receivable

Monitoring of Project

• Generate weekly (WIP) Work-in-progress report to reflect revenue, COGS, labour costs and other operating expenses to derive the profitability of the week.

• Keep track of progress claim status and Accounts Receivable.

Finalization of Project

• Generate report to reflect the statistics of man-hours/ COGS/ operating expenses and update to system for future reference.
• Finalize payment and keep track of retention amount and time frame.
• Final settlement of payment and record project reference into “Completed projects”.

Administrative Duties/ Others

• Generating of invoices, payment vouchers and other related documents.
• Ensure neat and tidy book keeping.

We are seeking a meticulous and driven Accounts Executive to join our finance team. As an Accounts Executive, you will play a key role in ensuring the smooth functioning of financial operations, providing accurate and timely financial information, and supporting the overall accounting processes.

Key Responsibilities:

• Prepare and maintain accurate financial statements, including balance sheets, income statements, and cash flow statements.
• Manage accounts payable and receivable, ensuring timely invoicing and payments.
• Perform month-end and year-end closing procedures.
• Assist with external audits, including preparation of necessary documentation.
• Monitor and reconcile general ledger accounts, perform monthly bank reconciliation and etc.
• Assist with ad-hoc accounting and administrative tasks as required.

Qualification, working experiences, skill and knowledge::

• LCCI in Accounting, Finance, or related field.
• At least 2-3 years of relevant accounting experience.
• Knowledge of accounting software.
• Proficiency in Microsoft Office Suite (especially Excel).

Roles & Responsibilities

• Manage the full spectrum of GST accounts and record transaction data accurately.
• Prepare monthly reconciliation, financial reporting, closing statements, and manage AR/AP.
• Reconcile POS system transactions, including cash, bank, and credit card payments.
• Update fixed assets and depreciation records in accounting software.
• Prepare and review supplier payments, ensuring compliance with credit terms.
• Track and verify expenses, cash claims, and card usage submitted by outlet heads.
• Generate and maintain payroll and salary reports.
• Update attendance records, leave schedules, overtime, etc.
• Stay updated on MOM guidelines and implement changes as required.
• Handle general administrative tasks and other ad-hoc duties as needed.

Requirements

• Diploma or Degree in Accounting or related field.
• 3-5 years’ experience managing full-spectrum accounts, preferably in F&B.
• Proficient in English and Mandarin to liaise with cross functional team.
• Meticulous, organized, and able to multi-task efficiently.
• Independent, collaborative, and a good team player.
• Proficient in Microsoft Office (Excel & Word).
• Familiarity with Xero accounting, Zealys payroll, ePOS systems, and credit card portals.
• 5-day work week, immediate or short-notice availability preferred.

• Monday to Friday: 9:00 AM – 6:00 PM

Responsibilities

1. Follow SOPs for AR processes, including data entry, receipts, and cash handling.
2. Upload invoices to portals, update email addresses for E-Invoice/E-SOA, and manage billing and collections on time.
3. Reconcile accounts, track AR ageing, and follow up on overdue payments.
4. Conduct monthly meetings with the sales team to discuss outstanding invoices and assist with new customer accounts.
5. Prepare reports, assist with stock takes, and support annual audits.

Requirements

• Diploma in Accountancy
