• Sourcing and perform RFQ based on inputs from requestors. Issue PO to suppliers with correct price and delivery date.
• Negotiation with vendors to attain right price, right delivery, right place
• Coordinate with LA Partners/OEM customers and follow through with the enquiry till order received, sales order/pro-forma invoice creation and shipment arrangement to ensure on-time delivery.
• Interacting with internal department/external parties (suppliers/LA Partners/freight forwarders) related to all POs (covers end-to-end ordering processes)
• Updating customer forecasts and accurately input into the ERP system, coordinate internally to ensure materials are ordered and in stock to fulfil requirements of production LA Partners/OEM customers and manage the collection of materials from counterparts directly.
• Track vendor performance in terms of on-time delivery, quality, service, and price changes via follow up on outstanding purchase orders (excluding CPM BTB POs) to ensure supplier acknowledgment and timely delivery schedules.
• Monthly invoicing closure for both suppliers and customers (SOO & SOE) , issuance of debit and credit notes with all supporting documents (Invoice/Packing List/Signed Delivery Order, Bill of Lading).
• Collaborate with the team to identify and implement process improvements, and provide support in recommending updates to policies and procedures to enhance program effectiveness.
• Assess aging stock and develop an action plan in collaboration with the team.
• Maintain and control documentation related to ISO procedures, support and conduct internal audits to assess adherence to ISO procedures.
• Assist internal departments' requests on procurement matters (TDS, SDS, Raw material sample, COA issues).
• To review and maintain ISO 9001, 14001 & 45001 procedures in accordance to Procurement function
• Renew SCDF Licenses and check HS Code of new materials to include into existing lists.
• Qualification and Approval of new materials and update to Approved Vendor list

Job Responsibility:

This role is primarily responsible to execute the day-to-day operation of the Seacabbie operations, under the supervision of the Operation Manager. This is a shift-based role, and involves interaction with the fleet, customers, vendors, and internal stakeholders.

Job Accountability:

Boat Orders

• Monitor/make the bookings for the boat trips based on the client’s requirement as received on our booking platform. Ensure all customer’s orders / enquiries timely and accurately
• Co-ordinate the outsourcing of trips with the approved outsourcing boat vendors
• Handle and understand any client related issues with care and seek immediate guidance from supervisor / manager on duty as required.

Parcels/Off-land Items

• Receive and ensure safe storage of Off land items/parcels received from clients at the terminal (MSP/WCP)
• Follow-up with clients for collection of off- land items as required
• Ensure safe & timely dispatch of parcels to the vessels as per client bookings/instructions

Crew Operations

• Monitor the boat crew duty roster for attendance by ensuring clock-in/clock-out. When required, to coordinate the sourcing of replacement crew as per instruction of operation manager.

Operations

• Monitor the bunker requests and record remaining quantity (ROB) in liaison with boat crew by following the procedure if the boat needs to bunker
• Liaise with multiple parties including customers, agents, service providers boat crew, internal stakeholders to ensure timely and effective completion of orders
• Maintain event data, records, and all related information promptly & accurately in system
• Communicate discrepancies / issues to team supervisor / manager when necessary
• Governs proper handing over and taking over of duties during change of shifts

Self-Development

• Understudy the role of Operations manager and assist in tasks related to operation of fleet when time permits. This role is the first step towards developing the skills required for fleet operations

Educational/Skills Qualification:

Education/Experience

• Minimum Diploma in any discipline; Maritime transportation related qualification is advantageous

• To achieve / meet cost saving target
• Responsible to source, negotiate and purchase materials from local & oversea vendors
• To implement internal procurement strategies to cater to high delivery & short lead time requirements and advise internal and external on issues regarding purchasing terms & conditions
• In charge of daily operational purchasing needs such as planning, issuing and following up on purchase orders delivery and shipment schedules
• 20% logistics work will be allocated

The person:

• Min Diploma in Procurement or relevant
• 3 years working experience in the relevant field
• Solid knowledge and understanding of procurement processes, policy and systems
• Well communication and negotiation skill
