Job Purpose

The Accounts Executive supports the finance department in carrying out the responsibilities of the accounting department. He / She is involved in work that is specific to accounts receivable, payment, data compilation, and other accounting tasks.

In some instances, he / she may work specifically with ensuring the accuracy of Accounts Payable Ageing, assist Auditors in providing necessary documents during audit exercise and be the custodian of Petty Cash and reimbursement of expenses. He / She may be called on to participate in ad-hoc finance-related projects and systems testing when necessary.

Job Responsibilities

1) Quote and process transactions for Accounts Payable function, ensure they are appropriately quoted, accurate and timely for month end closing.

2) Process all types of payments e.g. GIRO, FAST, PAYNOW, Telegraphic Transfer, Internet Banking etc. for weekly Schedule and monthly processing.

3) Ensure payment batches are generated according to the authorized bank signatories matrix and compiled with banking procedures and signatories sign off all documents to enable release to the bank within banking timeline.

4) Reconcile payment listing in banking platform after file delivery to ensure completeness and trouble shoot if errors are found.

5) Execute urgent, ad-hoc and manual payment when required and ensure all related supporting documents are duly provided.

6) Check the Accounts Payable Ageing to ensure it is correct and accurate.

7) Liaise and support auditors with the necessary documents during audit exercise.

8) Custodian of Petty Cash and disbursement to staff once a week.

9) Staff to work closely with Senior Accounts Payable Executive to form the Accounts Payable Team.

10) The staff will have the opportunity to learn AR functions over time and gear for job rotation.

Requirements:

• Degree in Accounting or ACCA.
• 3-5 years of working experience, preferably with some audit background.
• Experience in Payroll administration and preparation of GL/AR/AP
• Computer literacy – Excel, MS Words & PowerPoint and in other Microsoft office applications
• Experience in MYOB Software
• Good oral and written communication skills and able to work with different level of people in the organization.
• Independent and meticulous, resourceful and meticulous team player with good interpersonal skills
• Familiar with Singapore Employment Act & regulations
• Hands-on approach, able to work under pressure and meet tight deadlines
• Able to commence work within a short period of notice.

Accounts Executive

• Data entries AR receipts
• Reconciliation of daily bank receipts (including bond receipts) with total receipts in RMS
• Assist auditor's request on AR invoices and receipts sample
• Bank reconciliation for all banks
• Ensure timely, accurate month-end closing and financial reporting
• Responsible for preparation and closing of monthly and annual financial statements
• Responsible for accounting processes and tasks (i.e.: AP & AR process, GL, account reconciliation, etc.)
• Responsible for GST returns, PAYG withholding tax, annual tax returns, annual XRBL submission (if any), annual company return (if any)
• Coordinate and liaise with internal parties like property team and reservation team
• Support forecasting and budgeting exercise as per corporate guidelines
• Coordinate and liaise with external parties like external auditors, tax agents, corporate secretarial agents, local tax and government authorities where required
• Support and ensure compliance with all finance filing requirements, tax filing requirement, audits, procedures and forms both statutory and internal
• Assist in new processes and system implementation when required
• Plan and control the company’s cash flow, funding and budget allocation
• Ensuring all accounting systems, practices, controls and procedures are fully compliance with company policy

(A) Specific :

• Handle full set of account and prepare monthly management report on time.
• Review the work of accounts assistant and provide guidance for them.
• Manage the company cash flow by monitoring on the account receivable collection and liaising with the customers.
• Preparation of budget forecast for the company.
• Ensure that all the statutory and tax requirements for the company are met by liaising with various external parties such as auditors and tax agent.
