The incumbent shall facilitate the smooth and efficient management of the unit to ensure seamless delivery of service for respective outpatient clinics and facilitating the work process integration. Working closely with various stakeholders, the incumbent develops and executes plans in a holistic manner to manage patients’ appointments and doctors’ resource to ensure optimal utilisation of the appointment slots.

The incumbent will also undertake the supervisor role and be required to act as a mentor to junior staff, providing guidance, sharing of knowledge/ work processes, aimed at helping staff to attain the requisite work competency and career development.

Job Responsibilities:

• Operation Management: manage day-to-day operational, administrative functions and activities in proper workflows, handle manpower distribution and all resource requests, work closely with stakeholders on the request and modification of existing clinic resources, support in the review of clinic resource setups, creation of service provider in OAS
• Reporting and Data Analytics: perform analysis to the demand & supply of the clinic resources, supports HOD in the preparation of management reporting and project presentation, perform audit and monitoring of appointments data, review and streamline clinic resources, do analysis of data pertaining to Resource Management and patient access and provide recommendation
• Performance Management and Process Improvement: continuously review, identify, develop, initiate, implement effective internal and external Quality Assurance (QA) programs, initiatives and technology, review, develop and analysing of key performance metrics, propose recommendations, take-charge of departmental policies, procedures, guidelines, work instruction and training manuals, implementation of new or change in system and workflows, propose innovative solutioning for work and system process
• Financial/Cost Management: handle operating budget and projection, support the financial processes, monitor the utilisation of approved budget for office supplies, assets assigned to the department , phone bills, etc, handle proper usage and regular maintenance of resources (eg, IT and equipment assets, etc)
• Staff Management: Oversee recruitment, induction/ orientation, training, appraisal, developmental coaching and career advancement for staff, review manpower requirements and optimization of manpower resources, facilitate staff’s annual learning and individual development career and training plans, conduct performance reviews and feedback
• Project Management: support in the implementation of new initiatives and projects planning, participate in the development of innovative techniques, liaise and communicate effectively with the different stakeholders, prepare reports and utilise analytics, monitor the expense account for the projects, handle any duties assigned by supervisor and HOD

Job Requirements:

• Degree in any discipline with at least 3-5 years work experience, preferably in healthcare with supervisory experience
• Critical thinker and self-directed

• Possess strong coordination, communication skills and a team-player capable of working with various stakeholders
