Key Responsibilities

Administrative Support

1. You will provide comprehensive administrative, secretarial, and planning support to the Vice President (Academic) & Provost.
2. To serve as a point of contact for internal (faculty, administrative staff) and external stakeholders (industry partners, universities, vendors), responding to inquiries and maintaining effective communication.
3. Collate information and prepare reports, presentations, and other documents as needed, ensuring confidentiality and accuracy as well as to coordinate meetings, including preparing agendas, taking minutes, and disseminating relevant information.

Requirements & Qualifications

You should possess a Bachelor’s Degree in any specialised field with 2 years’ experience in academic/research administration. A minimum of 8 and 10 years of industry experience is required to be considered at Assistant Manager and Manager level respectively.

You should be resourceful and proactive in addressing issues, possess strong organisational, administration and coordination skills, with a proven ability to handle multiple tasks, prioritize tasks and meet deadlines.

• To oversee the booking and estate management of the shared facilities in ACS Barker Road Campus. The shared facilities include Auditorium, Arts Centre, Sports Hall, Swimming Pool, Futsal Court and Tennis Courts.
• Source for opportunities for external bookings of shared facilities (e.g. concerts, workshops, conferences, events) and facilitate bookings of both schools and external parties;
• Provide logistic support for external events and programmes;

• Liaise with contractors on estate maintenance and improvement works;
• Liaise with external hirers on their bookings, usage and payment;
