Primary Purpose

Responsible for a variety of book-keeping duties, such as checking of invoices, sending invoices for approval, posting of invoices to Accpac system, and timely payment of all hotel invoices and disbursements, month end journal posting, and maintain proper files for accounts payable section, and assists in auditing.

Core Responsibilities

• Audit and process all invoices. Ensure all invoices are attached with IPS, POC, and/or other supporting documents, like delivery orders, service reports, work orders, etc. as appropriate and are properly approved department head and general manager for payments before generating computer or manual cheques.
• To ensure hotel only pays for goods and services which are bona fide purchases. Prepare prompt and accurate allocations of all accounts payable on a timely basis for posting.
• Make payment of all invoices according to the credit terms granted by the supplier; make prompt payment for those invoices with early bird discounts.
• Check all expenses reports, bank payment requests, cash payment requests or auto-payments to ensure that supporting documents are sufficient.
• Regularly check those Giro payments in bank statements and follow up with the original invoices and prepare necessary payment vouchers for posting of the transactions to Accpac system.

* Degree/Diploma in Accounting or equivalent

*Relevant work experience as an Accountant especially in a related industry

*Knowledge of bookkeeping best practices and finance regulations

* An ability to concentrate , work quickly and accurately to meet deadlines

* Hands-on experience with MS Excel and accounting software (eg. MYOB)

* Good organisation and filing skills

* Ability to handle sensitive, confidential information

Job Descriptions:

• Has of Companies (Account payable, Accounts Receivable, General Ledger)
• Data entry and invoice processing including credit control and collections
• Handle banks reconciliation and other bank-related matters
• Follow on payment status and prepare statements of accounts to vendors & customers
• Handle and disbursement of petty cash claims
• Preparation for quarterly GST submissionndle accounts for LexBuild Group
• Liaise with external parties (auditors, tax agents, corporate secretary) on all related matters
• Assist in monthly and quarterly financial and management reporting
• Maintain an efficient and systematic filling system
• Handle inventory costing and perform stock take.
• Any other ad hoc accounting and administrative duties as assigned from time to time.

1. Accounts Payable and Receivable. Process invoices, payments, and receipts related to accounts payable and accounts receivable functions. This includes accurately recording transactions, reconciling accounts, and ensuring timely payments and collections.
2. General Ledger Maintenance. Assist with the maintenance of the general ledger by recording financial transactions, posting journal entries, and updating ledger accounts. This involves ensuring the accuracy and integrity of financial data in the general ledger.
3. Financial Reporting. Support the preparation of financial reports, such as income statements, balance sheets, and cash flow statements, under the guidance of the accountant. This may involve gathering data, performing calculations, and organizing information for reporting purposes.
4. Bank Reconciliation. Reconcile bank statements with the company's accounting records to ensure that all transactions are accurately recorded and accounted for. This involves comparing bank balances, identifying discrepancies, and resolving any outstanding items.
5. Budgeting and Forecasting. Assist in the budgeting and forecasting process by gathering relevant financial data, analyzing trends, and preparing budget schedules and reports. This may include variance analysis to compare actual performance against budgeted amounts.
6. Financial Analysis. Conduct financial analysis to assess the company's financial performance and identify areas for improvement. This may involve analyzing financial ratios, profitability metrics, and other key performance indicators to provide insights to management.
