Accounts Executive - Freight Forwarding

This position will support the company’s accounting services to provide proper recording and processing of financial transactions. Work closely with clients to ensure proper expense recording, processing and timely clearing of aged accounts. Provide continual effort in identifying areas of improvements to refine financial processes to enhance end to end functionalities by ways of automation. Timely and accurate preparation of financial closing. This person will report directly to the Accounts Manager.

Key accountability include the following but not limited to:

● Tracking and reporting freight status through the cargo wise systems

● Issuing and recording of tax invoices

● Ensure timely, accurate month-end and financial reporting

● Reconcile accounts payable and receivable and perform credit control

● Report on the company’s financial health and liquidity

● Compute taxes and prepare annual tax returns and GST filing

● Identify areas for improvement and implement improvements to processes

Requirements:

● At least 1 – 2 years relevant working experience in freight forwarding industry

● Minimum 1 year of working experience as accounts executive

● Experience in using cargo wise system

● Proficiency in accounting software such as QuickBooks Online and/or Xero Accounting

● Demonstrate intermediate skills and knowledge of Excel, as well as other Microsoft Office applications

● Excellent written and verbal communication skills

● Strong attention to detail and good analytical skills

● Time management and organizational skills

● Excellent interpersonal skills to communicate effectively across the organization

● Ability to work independently

● Minimum Diploma in Accounting, Finance, or a related field, or an equivalent combination of education, training and experience

Salary: SGD2,800 to SGD3,500

Key Responsibilities

• Handle full set of accounts.
• Post journals and prepare monthly financial accounts in an accurate, timely and efficient manner.
• Maintain up-to-date and correct balance sheet schedules.
• Complete monthly reconciliation of bank, debtors, creditors, and inter-company balances.
• Ensure adherence to financial controls, compliance, and policies.
• Ensure proper filing of financial records and reports.
• Handle cash, banking, manual cheque issuance, manage standing payment instructions.
• Process billings, payments, and refunds on a timely and accurate basis, ensuring transactions are properly authorised.
• Maintain vendor database, with supplier and payment details set up accurately.
• Reconcile bank, debtor, creditor, inter-company balances.
• Assist with cashflow forecast, cash management.
• Liaise with third party such as banks and suppliers to resolve issues that may arise.
• Manage Fixed Assets Register and Assets under Construction.
• Assist with audits and the preparation of statutory accounts according to audit and regulatory requirements.
• Assist with preparation of budget, forecast and management reporting as required.

Description:

• To assist the Authority’s appointed consultants and Resident Engineer (RE) in carrying out supervision works on site.
• To keep and maintain site record on progress of works, instructions given to contractors,materials delivered to site, daily activities and weather conditions at site, number of workers and visitors at site and any other significant information.
• To supervise and keep records of day works.
• To attend site / co-ordination meeting as directed.
• To assist in enforcing the safety requirements.
• To comply with Authority’s appointed consultants’ Quality Assurance Procedure for construction works.
• To carry out site supervision and inspection of the works including any off-site manufacturing as instructed by the Authority’s appointed consultants to ensure that the works are constructed to required quality and accuracy.
• To monitor progress of the works on site and at any off-site manufacturing facilities and report delays immediately.
• To provide standing supervision as and when directed by the Authority’s appointed consultants.
• To maintain proper and updated daily records of all works done, including records of tests, inspections, status of works, safety, site diary, materials and equipment on site, labour,dayworks, provisional quantities, etc.
• To check that contractor executes preliminaries items.
• To check services routes and contractor’s setting out and report any deviations to the Authority’s appointed consultant team.
• To verify reports and claims submitted by contractors.
• To record all variations as instructed or approved by Authority’s appointed consultants.
• To attend to Authority’s appointed contractor’s queries and co-ordinate works by Authority’s appointed main contractor and his appointed direct contractors.
• To inspect and take over completed works.
• To supervise and witness testing commissioning of M&E services or systems.
• To provide weekly reports of site activities and problems on-site, including how they were resolved.
• Attend meetings in the Authority and the Authority’s appointed consultants’ offices when necessary to discuss issues arising on-site.
• To familiarize with the drawings, and contract specifications and highlight deviations.
• To monitor and report on the contractor’s progress and performance and maintain site records of the works which should include all circumstances and events occurring during the construction stage.
• To attend TOP or CSC inspections by Registered Inspectors, BCA and all other relevant authorities’ representatives for each respective discipline.
• To carry out and report assessment on Construction Quality Assessment system (CONQUAS).

Requirement:

• Diploma from Polytechnic in relevant discipline or hold an equivalent qualification.
• Preferably 5 years of local supervision as a resident technical officer for Architectural, Civil, and Structural works.
• Be conversant in local legislation, regulations, and codes
