Job Overview

We are seeking a highly organized and detail-oriented Vessel Accounts Executive to manage and oversee the financial records of vessel operations. This role requires ensuring the accuracy of financial transactions, timely reporting, and adherence to relevant regulations, supporting operational efficiency and financial compliance.

1) Liaise with vessel captains to ensure that reports, including Portage Bill, Provision, and Slop chest Account, are in order. Maintain a summary record for reference.

8) Respond to all relevant emails and inquiries regarding the vessels under your responsibility in a professional and timely manner.

The Accounts and Admin Executive plays a key role in managing our financial records across multiple entities and ensuring the smooth operation of daily office functions. This position offers a unique opportunity to contribute to the growth of the Company by supporting and handling accounting and administrative duties.

Key Responsibilities:

• Handle accounts payable and receivable and ensuring timely payments
• Preparing and maintaining accurate financial records and presenting monthly quarterly and yearly financial reports
• Reconciling tax and other financial statements
• Liaising with internal and external stakeholders (invoice, payment etc)
• Assist in order processing payment records, updating and recording databases and spreadsheet
• Processing, storing and updating invoices, bank deposits and other financial records
• Managing cash flow processes and petty cash flow
• Keep track of office/cleanroom stock inventories.
• Provide general office administrative support, including managing correspondence, scheduling, and maintaining office supplies and office maintenance and other administrative tasks
• Manage any ad hoc administrative tasks as required to support smooth operations

Requirements:

• Diploma and above in Accounting, or minimum of 5 years accounting and booking keeping experience
• Strong knowledge of accounting principles
• Proficiency in Microsoft Office (Excel, Word, PowerPoint)
• Strong organizational skills with the ability to multitask and prioritize
• Good communication and interpersonal skills
• Ability to work independently

Job responsibilities:

• Handle full sets of accounts for clients and prepare customized monthly financial reporting;
• Prepare GST report for quarterly submission;
• Perform monthly payroll processing and analyse the fluctuation;
• Prepare and review the individual tax clearance (eg. Form IR21 and IR8A)
• Prepare financial statements for compliance purpose;
• Liaise with the auditors to ensure the timely completion of the audit;
• Prepare yearly reporting in XBRL format;
• To perform ad hoc duties as requested.

Job requirements:

• Minimum of 3 – 5 years work experience.
• Strong analytical skills, attention to details, and a high level of integrity
• Good time management skills and able to perform under tight deadlines
• Strong communication, interpersonal, and organizational skills.
• Flexible, with an inquisitive mind and a strong willingness to learn and take on new finance-related tasks
• Proficient in Microsoft Excel, Word and PowerPoint
• Experience with accounting and ERP systems, particularly QuickBook, Xero, Microsoft Dynamics, SAP, etc.
• Knowledge of Singapore Financial Reporting Standards (SFRS) is a must.

Job Scope

1. Input invoices received from Local Vendors
2. AP invoice EDI
3. Check and tally monthly Export/Import/General Expenses submitted by Agents against Tariffs and Rates in Company’s system.
4. EDI monthly reports into system after reports checked and in order.
5. Arrange payment or receipt to/from agents.

Job Requirements:

· Some practical experience in working with accounts/bookkeeping.

· Diploma or its equivalent

· 1 year of experience in account, experience would be a distinct advantage/ fresh graduates with a diploma in accounting (or similar) would be welcome too.

· Proficient in Microsoft Office

· Practical experience in Microsoft Business Central preferred

· Ability to work in a team, meticulous and responsible.

You will performing full set of accounts for a subsidy of BYD by 1826.

Accounts Receivable:

• Generate and send out invoices to customers in a timely manner.
• Follow up on outstanding receivables and ensure timely collection of payments.
• Reconcile accounts receivable ledger to ensure accuracy and completeness.
• Investigate and resolve discrepancies or billing issues with customers.
• Maintain accurate records of customer transactions and interactions.

Accounts Payable:

• Process vendor invoices accurately and timely for payment approval.
• Verify and reconcile vendor statements to ensure all invoices are accounted for.
• Review and approve employee expense reports for reimbursement.
• Coordinate with departments to obtain necessary approvals for payment processing.
• Prepare and process electronic payments, checks, and wire transfers.
• Maintain vendor files and update records with new information as needed.
• Respond to vendor inquiries and resolve payment discrepancies or issues.
• Assist in month-end and year-end closing activities related to accounts payable.

General Responsibilities:

• Collaborate with internal stakeholders, including finance, procurement, and operations teams, to streamline processes and resolve issues.
• Ensure compliance with company policies, procedures, and regulatory requirements.
• Assist in the development and implementation of accounting policies and procedures.
• Provide support during audits and financial reviews as necessary.
• Utilize accounting software and tools to manage receivable and payable transactions efficiently.
• Stay updated on industry best practices and trends in accounts receivable and accounts payable management.

Requirements:

• Bachelor's degree in Accounting, Finance, or related field.
• Proven 5 year or more experience in full specturm of accounting/finance.
• Strong understanding of accounting principles and practices.
• Proficiency in accounting software.
• Excellent communication and interpersonal skills.
• Attention to detail and accuracy in data entry and record-keeping.
• Ability to work independently and prioritize tasks effectively.
• Problem-solving skills and ability to resolve issues in a timely manner.
• Familiarity with regulatory requirements and compliance standards.
