Recruitment

• Assisting in recruitment process includes but not limited to preparing job descriptions, advertising vacant positions, sourcing & screening application, arranging interview, etc
• Perform daily HR duties such as On-boarding/Off-boarding formalities, staff orientation, staff pass processing etc
• Process work pass application, cancellation, renewal for foreign workers through MOM website
• Coordinate with relevant departments on manpower movement, contract renewal, confirmation, transfer, promotion, re-employment, resignation, etc along with respective administration
• Prepare employment-related documents e.g., employment contract, letter, etc

Leave & Record Management

• To ensure all leaves are applied in system before employees goes on leave
• Responsible for claims of government grants such as maternity leave and childcare leave applications
• Ensuring accurate and proper record-keeping of employee information in electronic and digital format and required personal documents are in place

Other HR Matters

• To file all training certificates in workers’ personal files accordingly
• Provide response to employees’ enquiries on HR-related matters
• Administer Work Injury Compensation Claim
• Prepare information for Labor Market Survey

Roles & Responsibilities

1. Bookkeeping: Accurately record and maintain financial transactions, including invoices, receipts, payments, and expenses.

5. Financial Reporting Assistance: Aid in preparing financial reports, statements, and summaries for internal and regulatory purposes.
6. Assist with Audits: Provide necessary documentation and support during internal or external audits.
7. Administrative Support: Handle administrative tasks within the finance department, such as filing, responding to inquiries, and maintaining documentation.
8. Compliance and Documentation: Ensure compliance with accounting standards, regulations, and company policies, maintaining proper documentation of financial records.
9. Collaboration: Work closely with the accounting team to facilitate smooth financial operations and contribute to the overall efficiency of the department.
10. Adaptability: Be open to learning and adapting to new accounting software or procedures as required by the organization.
11. Ad hoc Tasks: Assist in association's projects and events for members.

Responsibilities:

• Managing accounts payable and receivable functions, processing payments, tracking payments, and ensuring timely collection of outstanding receivables.

• Report to the Project Manager & Project Director.
• Manage your team to work with project team, LTA and various stakeholders.
• Develop and implement the Communications, Stakeholder Relations and Community Relations strategy for the Project.
• Identify and manage issues and risks pertaining to the project and escalate issues and risks to the management.
• Manage responses to all project related communications matters and attend stakeholder meetings as required.
• Liaise with construction team, public and key stakeholders to respond to project in the shortest time and effectively manage concerns raised.
• Liaise with the construction team to ensure the public and stakeholders are notified in advance of works.
• Develop and communicate to the public and stakeholder awareness and risk minimization programs across inductions and presentations.
• Monitor effectiveness of the public and stakeholder engagement activities.
• Input communications and stakeholder activities into the project stakeholder database and project reporting cycles.
• Develop strategies to achieve best possible results with project KRA and KPI.
• Perform all duties in accordance with company's policies, processes, systems and procedures.
• Maintain records of all PR related cases, communications and correspondences.
• Participate in project's meeting, record minutes of meetings pertaining to the assigned project, write reports and prepare presentation slides.
• Any other duties that may be assigned to you from time to time as your superior/ management deem fit such as managing hotline.

Job Requirement:

• Degree in in disciplines relevant to public relations, journalism, stakeholder management, marketing or mass communication.
• Minimum 8 years of experience in communications & stakeholder management for major infrastructure projects.
• Experience in leading project or specialist function activities within major organizations.
• Good team working skills and communication skills to interest with various stakeholders.
• Have experience in LTA projects have an advantage.
• Able to start immediately or within a short notice period will have added advantage.
