The Accounts Supervisor supports the Hotel in optimising its financial transactions and systems. He/she is responsible in liaising with vendors/suppliers on correspondences relating to payment matters, strengthen and grow relationships with vendors/suppliers through timely payments. The Accounts Supervisor also assist in streamlining and improving the accounts payable process.

Your day-to-day

General Cashier Function

• Daily banking involving reconciling cash collection against Daily Cash Summary and balancing cash collection.
• Process petty cash as required on a biweekly basis and forward to Finance and Business Support Manager for reimbursement.
• Ensure banking is done weekly with Assistant Security Manager.
• Prepare over and under cash collection and balancing on daily basis.
• Issue and return house bank contracts as required and prepare house bank accounts summary monthly.
• Process due back daily.
• Liaise with various departments on cashiering operation.
• Counting of cash balance for Laundry washer and dryer.

Accounts Payable Function

• Maintain New Users/ update of user profile in Purchase Plus+.
• Assist with creation of new vendor and acquiring new credit facilities.
• Prepare and maintain Purchase Plus cheat sheet for the BSC AP.
• Create and maintain buy list for all departments.Ensure new items are key-in to Purchase Plus within 3 working days.
• Ensure all purchases are in line with the hotel purchasing policy and Delegation of Authority.
• Ensure that all Hotel POs (except for Market List POs), issued to suppliers & contractors, etc. are duly approved by Finance and Business Support Manager or General Manager.
• Work closely with related departments to ensure all invoices have the appropriate documentation attached and approvals prior to processing.
• Document and ensure that all paperwork / information related to order supply, forms, and other resources are readily available.
• Consider possible savings in short-term and long-term consequences.
• Match invoices, DOs, POs and PRs, reject unauthorised merchandise and clarify, if needed upon receipt of deliveries.
• Ensure Invoices are duly stamped and signed by user department.
• Complete Goods Receive (GR) data entries daily and submit receiving reports to BSC.
• Coordinate deliveries with vendors and ensure driveway is clear during peak hours.

We are seeking a dynamic Accounts Payable to join our pre-opening team in Mandai Rainforest Resorts by Banyan Tree. As part of the pre-opening team, the incumbent will play a pivotal role in establishing and managing the financial setup for the Resort.

The incumbent will be responsible for ensuring the validity and accuracy of all invoices, and their appropriate allocation and timely payment. All invoices should be formally authorized and signed by each respective department head before the payment is processed. The Recruitment Process

Our recruitment process starts with a telephone interview with a member of the Talent Acquisition team, followed by an assessment for you to complete in your own time. If successful, you will be invited to an interview. Our standard recruitment process lasts around 1 month however, this can be adapted if necessary.

The role will ideally commence in early 2025. However, we have start dates available every month of the year and you will be asked to state your availability on your application form. Whilst there are no set application deadlines, we strongly recommend applying as early as possible so that we can begin processing your application. The role will close when a suitable candidate found.

Responsibilities:

• Maintain the debtor aging report and follow up with customers for payment.
• Manage the receipts portion of bank accounts.
• Maintain the Inventory Report (Chemicals).

- Check store withdrawals and store receipts keyed in by the storeman.

- Ensure the storeman verifies that physical balances match book balances.

- Match supplier invoices with Delivery Orders (DO), Requisition Orders (RQ), and Purchase Orders (PO); code and key them into ACCPAC.

• Process payments to selected suppliers.
• Prepare bank reconciliations.

Requirements:

• Minimum GCE O Level or a relevant accounting qualification.
• At least 3 years of experience in an accounting department.
• Familiarity with ACCPAC accounting software.
• Proficiency in Microsoft Office applications, such as Excel and Word.
• Must be able to start work immediately or with short notice.

The Firm is looking for an experienced Accounts Assistant to join our firm. The candidate will mainly perform Accounts Payable duties and portion of Accounts Receivable functions.

The job description includes but is not limited to the following: -

· Review and process payment vouchers and claims.

· Prepare payment to internal and external parties in a timely manner for client’s accounts, and office accounts and ensure it is according to the relevant regulations and procedures.

· Ensure the transactions are accurately keyed in accounting system.

· Liaise with external vendors on invoices and handle discrepancies.

· Monthly payment and expenses reconciliation.

· Update and maintain digital and physical procedural documentation.

· Assist in preparing monthly financial reports

· Participate in the firm’s annual financial audit.

· Undertake other ad-hoc duties as assigned.

Requirements:

· Minimum 2 years of relevant working experience preferred but not a must.

· Diploma in Finance, Accounting or relevant field.
