DUTIES AND RESPONSIBILITIES:

Reporting directly to the Director of Finance. the incumbent will be responsible for managing of overall credit and receivable collection functions of the hotel in the most efficient manner in order to minimize the non-payment of accounts and potential bad debts. He will be responsible for but not limited to the following duties:

• To be responsible for the efficient and effective operation of the Credit & Account Receivable section.
• To ensure that the hotel credit policy and procedure is adhered to in all departments.
• Responsible for developing and maintaining credit relationship with customers, banks the industry, credit organizations and others for the purpose of obtaining and exchanging credit and financial information.
• To be ready and responsible when assigned to perform any other duties as designated by higher management.

JOB REQUIREMENTS:

• At least 5 Year(s) of working experience in the related field is required for this position
• Preferably Manager specialized in Finance - General/Cost Accounting or equivalent
• Have good communication skills in written and spoken English

Job Scope:

• Perform AP-related postings, including AP invoicing, Outgoing payments and creation of fixed asset master data, ensuring accuracy and completeness, in compliance with College policies and internal approval matrix;
• Take charge of payments and refunds, ensuring timeliness of payments and completeness of paperwork;
• Obtain and reconcile monthly vendors’ Statement of Account, ensuring AP invoices are posted timely for prompt payments;
• Prepare and monitor weekly and monthly AP reports: bank reconciliation, AP Aging and balance-sheet accounts;
• Monitor open AP related transactions: open invoices, budget requisition and purchase orders;
• Process creation and maintenance of vendors in system;
• Serve as key point of contact for Junior school and Whole school communications, including related vendors, internal staff and HQ for invoices, withholding tax and payment related matters;
• Perform Ad-hoc payment processing and send payment advice to vendors, ensuring accuracy of payment;
• Provide periodic guidance to new and existing members of staff over AP related processes;
• Work on continuous improvement on policies and processes to streamline efficiency and effectiveness.
• Work closely with credit card holders to reconcile monthly credit card statements and complete related paperwork approval;
• Reconcile accounting ledgers for month-end reporting;
• Manage filing and archiving of AP documents and admin files;

Audit Duties:

• Assist in the planning, execution, and finalization of all areas of audit assignments, including statutory and regulatory audits.

Financial Planning and Strategy

• Support senior management in financial planning initiatives, such as long-term financial sustainability, investment strategies, and fundraising campaigns.
• Provide financial insights and analysis to aid in strategic decision-making and goal-setting.

Stakeholder Relations:

• Collaborate with internal stakeholders, including entities' management, committee members, and volunteers, to ensure transparency and effective communication regarding financial matters.
• Maintain positive relationships with external stakeholders, such as banks, vendors, and regulatory agencies.

Administration and Daily Operations:

• Handle day-to-day administrative tasks to support the finance department.
• Maintain accurate and organized financial records and documentation.
• Ad-hoc assignments as assigned and required.

Qualifications:

• Bachelor's degree in Finance, Accounting, or related field.
• Professional certification (e.g., CPA, ACCA) is an advantage.
• Minimum of 2-3 years of experience in accounting and auditing.
• Knowledge of financial principles, practices, and regulations.
• Proficient in accounting software and Microsoft Office Suite.
• Strong analytical and problem-solving skills.
• Excellent attention to detail and accuracy.
• Effective communication and interpersonal skills.
