Account Assistant / Executive (Accounts Payable)

Key Responsibilities:

• Handle Full spectrum of AP, verification of accounting documents and data entry into system.
• Prepare payment to suppliers and non-trade related vendors.
• Maintain petty cash and staff claims on a timely basis.
• Update cash book on daily basis.
• Perform monthly AP creditors reconciliations statement.
• Assist in month-end closing activities to ensure tally with financial statement.
• Other ad-hoc duties as assigned by Finance Manager.

Requirements:

• LCCI Certificate in Accounting or equivalent are welcome.
• Experience in MYOB and ERP system will be advantageous.

Job Description

• Creating New Creditor in Oracle systems
• Preparation of Audit Confirmation - Supplier (PO) and Sundry expenses (creditor with PO, salary, transfer fund, GST etc)
• Matching PO/DO/supplier invoice (Oracle system) - Supplier Invoice with PO (checking quantity & initial prices and total)
• Data entries for sundry and ad-hoc invoice & payment
• Preparation of payment voucher in Oracle system - Supplier (PO) and Sundry expenses (creditor with PO, salary, transfer fund, GST etc)
• Ensure all payment offset with debtors invoices (back charges invoices) - Supplier (PO) and Sundry expenses (creditor with PO, salary, transfer fund, GST etc)
• Preparation of online payment and print out the bank advices
• Allocation of AP (contra off-set btw AP and AR invoices (zero payment)) - Supplier (PO) and Sundry expenses (creditor with PO, salary, transfer fund, GST etc)
• Reconciliation of creditor statement - Supplier (PO) and Sundry expenses (creditor with PO, salary, transfer fund, GST etc)
• Manual matching DO with supplier invoice - Concrete & Others Supplier (checking quantity & initial prices and total)
• Adhoc Payment (TT, Cashier Order etc)
• Key in GIRO payment
• Registrar of group fixed asset & site equipment
• Updating & monitoring of fixed asset register & site equipment

Job Requirements

• Minimum 1 year of experience in relevant field
• Diploma/Bachelor's Degree in Accountancy

Job Responsibilities:

1. Accounts Payable:

• Process and record supplier invoices, ensuring timely payment.
• Reconcile supplier statements with internal records to resolve any discrepancies.
• Prepare and process electronic transfers and payments, as well as checks.
• Maintain vendor files, ensuring accurate and up-to-date information.
• Track payment deadlines and manage the payment schedule to avoid late fees.
• Assist in monthly and year-end closings, specifically related to payables.
• Monitor and report on outstanding accounts payable and cash flow projections.
• Respond to vendor inquiries regarding payments and invoice status.

2. Accounts Receivable:

• Generate and issue customer invoices, ensuring accuracy and timeliness.
• Record customer payments and reconcile accounts receivable records.
• Monitor and follow up on outstanding receivables to ensure timely collections.
• Perform bank deposits and apply payments to corresponding customer accounts.
• Reconcile discrepancies between customer accounts and received payments.
• Prepare and send payment reminders or statements to customers.
• Assist in monthly and year-end closing, focusing on receivables.
• Respond to customer inquiries regarding billing and payment issues.

General Responsibilities (for both Accounts Payable and Receivable):

• Maintain accurate and detailed financial records.
• Assist with audits by providing necessary records and documentation.
• Ensure compliance with company policies and relevant regulations.
• Collaborate with the finance team to maintain accurate general ledger entries.

Job Requirements:

• Bachelor’s degree in Accounting, Finance, or a related field.
• Minimum of 3 years of relevant experience in accounting or finance.
• Proficient in accounting software and Microsoft Office (Excel, Word).
• Strong analytical and problem-solving skills.
• Attention to detail and ability to work under tight deadlines.
• Bilingual in Mandarin to effectively communicate with Chinese-speaking construction workers.
• Strong communication and interpersonal skills.

Job Function:

• Responsible for monitoring of day-to-day Accounts Payable Function
• Responsible for monitoring of day to day Inventories and Year end stock take
• Review and allocation of daily cash management within the Group
• Oversee accounting staff in Accounts Payable & Inventory Team to ensure timely and accurate monthly closing
• Monthly PowerBi reporting
• Any other related projects/duties which not indicated above will be assigned by the superior from time to time.

Education and Experience:

• Degree in Accounting ar ACCA
• Minimun 8 years of working experience in Accounts Payable, Inventory and full book experience

• Proficiency in MS Office, especially in MS Excel.

• Report to Finance Manager
• Handle full sets of accounts including journal entries, prepare all accounts schedules to ensure accurate and timely provision are made for monthly expenditure, fixed assets, accruals, month end closing and year-end audit activities
• Ensure company records are properly kept in accordance with company policies and accounting standards of Singapore
• Manage quarterly GST filing
• Responsible for computation of tax computation and tax compliance
• Manage and liaise with auditor and tax agent for statutory reporting and compliance of tax filing respectively
• Other ad-hoc as assigned by the company

REQUIREMENTS

• Minimum 2 years of experience in accounting field and can manage full sets of accounts
• Proficient in Microsoft Office, especially in Excel
• Well-organized and able to multi-tasks
• Strong written and communication skill English & Chinese
• Min. Diploma in Accountancy/ Finance
• Prior working experiences in audit firm and using Xero are preferred

Duties and responsibilities

 Ensure accounts payable invoices, petty cash

 Ensure GST recognition is in compliance with IRAS regulations.

 To check and ensure payments are properly supported and authorized according

to Group Policies and Processes.

Skill Required

 GCE O levels or Diploma qualification.

 Min. 1-2 years of experience in Accounts Payable.
