Job Purpose

The Accounts Executive reports to the Finance Manager. He does work that is about accounts receivable, accounts payable, tax filing, data compilation, billing, payroll and other accounting tasks. He assists the Finance Manager with monthly and yearly finalisation of accounts. He prepares the trial balance, basic financial statements and simple consolidated financial statements. He may be involved in finance-related projects and systems testing.

Principal Accountabilities

Monitoring of Project

Generate weekly (WIP) Work-in-progress report to reflect revenue, COGS, labour costs and other operating expenses to derive the profitability of the week.
Ensure timely and justifiable certification of payment are provided by Clients.
Keep track of progress claim status and Accounts Receivable.

Finalization of Project

Generate report to reflect the statistics of man-hours/ COGS/ operating expenses and update to system for future reference.
Finalize payment and keep track of retention amount and time frame.
Final settlement of payment and record project reference into “Completed projects”.

Administrative Duties/ Others

Generating of invoices, payment vouchers and other related documents.
Ensure neat and tidy book keeping.
Assist with issuance of wages to workers and breaking down into the appropriate monetary denominations.
Fulfil any other ad-hoc duties as and when assigned by Superior/ Management.
Reimbursement to employees / Petty cash.

• Handles month-end and year-end closing activities, including the preparation of accounting schedules, account reconciliations, timely provisions for monthly expenditures, fixed assets management, accruals, and financial statement preparation.
• Handle cash management and treasury matters, including the preparation of weekly cash flow forecasts.
• Assist in monthly and quarterly reporting to the Group.
• Support the annual audit process by preparing audit schedules and providing necessary documentation.
• Ensure compliance with all finance-related filing requirements, audits, and tax filings, such as GST and CIT.
• Perform additional duties as assigned by the Superior and/or Management.

Requirements:

• Diploma/Degree in Accountancy, or equivalent professional qualifications.
• 1-2 years of relevant experience
• Self-motivated, well-organized, and results-driven, with a proactive approach to tasks.
• Strong communication and interpersonal skills to collaborate effectively with team members and stakeholders.
• Skilled in hands-on tasks with exceptional organizational abilities, attention to detail, and a proven capability to meet tight reporting deadlines.
• Proficiency in Microsoft Excel and Word is essential.
• Familiarity with accounting software is highly desirable.
• Prior experience working in multinational corporations (MNCs) is preferred.
• Experience in Japanese companies will be considered an advantage.

You role shall include but not limited to:

Handle full sets of accounts (AP, AR, GL)
Handle daily operational AP/AR tasks including invoicing, statement of accounts and follow-up on aged receivables, payment and staff claims.
Assist with month-end closing activities (bank reconciliation, BS schedules and audit schedules), intercompany reconciliation, quarterly GST submission and income tax filing process
Prepare analysis of accounts as and when required.
Maintain fixed assets register.
Maintain good documentation and filing system.
Assist in the preparation of budgeting and forecasting.
Ad-hoc duties as assigned.

Pre-requisites

Diploma in Accounting/ ACCA or equivalent.
Minimum 3 years of relevant working experience in AP/AR/GL and accounts consolidation.
Meticulous and attentive to accuracy.
Able to multi-task and possesses strong initiative.
Good interpersonal and communication skills
Ability to read and write Mandarin is preferred as the incumbent is require to work closely with the China office
Proficient in Microsoft Office, SAP and Xero.

About the role

Accounts Officer/Executive, Income Audit (Open to Fresh Graduates)

You will be integral in ensuring the accuracy and reliability of the hotel’s financial performance. Key responsibilities include verifying and reporting hotel revenues, reviewing supporting documentation submitted to the Accounting team, and preparing the Daily Revenue Report. This report serves as a critical tool for Hotel Managers, enabling them to assess financial performance and forecast future business trends effectively.

What you will do:

• Audit paperwork from all revenue centers within the hotel, ensuring accuracy and compliance with Four Seasons' Internal Controls and local hotel policies.
• Verify, record, and post accurate departmental revenues.
• Monitor and record all house account meals and entertainment expenses, reporting non-compliance issues.
• Reconcile income against respective ledger balances in the PMS system (guest ledger, city ledger, and deposit ledger), address discrepancies promptly, and escalate unresolved issues.
• Verify credit card settlements and transmissions, ensuring alignment with bank receipts and tracing outstanding balances for future receipt. Investigate exceptions and report anomalies to the Director or Assistant Director of Finance.
• Maintain daily updates to credit card reconciliations, ensuring they align with transmissions and receipts while adhering to strict data security protocols.
• Conduct monthly balance sheet reconciliations to confirm that balances align with the outstanding credit card balance per the reconciliations.
• Ensure post-departure allowances are properly documented, approved as per local policy, and included in the SR-5 report.
• Regularly review General Ledger accounts for Room, Food & Beverage, Amusement, and General Sales and Value Added Taxes, preparing a monthly summary of activity.
• Collaborate with the Director of Finance to approve the summary, comparing taxable revenue on the monthly P&L statement to the liability balance at month-end, and resolve any discrepancies.
• Safeguard the hotel’s assets by reviewing credits issued by the Rooms and Food & Beverage Division, ensuring they serve a valid business purpose and have proper managerial approval.
• Analyze daily void reports from the hotel’s F&B POS system to verify proper inventory control within the Food & Beverage department.
• Monitor the sale and redemption of hotel gift cards, accurately tracking and calculating the hotel’s liability.
• Collaborate with other functions within the Accounting Department to ensure the seamless paperwork processing to Income Audit.
• Follow up with any inconsistencies/discrepancies in paperwork that deviate from Internal Controls to with the relevant departments.
• Support guest inquiries directed to the Accounting Department, including handling folio requests, credit card inquiries, and information requests from other hotel departments.
