We are seeking a dynamic and organized individual to join our team as a Sales Executive cum Office Administrator. This dual-role position is ideal for someone who thrives in a fast-paced environment and is skilled in both sales and administrative tasks.

Key Responsibilities:

Sales Executive Duties:

• Prepare and deliver professional sales proposals, quotations, invoices, and warranty certificates etc.
• Assist in maintaining accurate and up-to-date client records in the system.
• Coordinate with clients and internal teams to ensure timely delivery of products and services.
• Build and maintain strong relationships with new and existing clients.
• Address client inquiries regarding products, pricing, and warranties professionally and promptly.

Office Administration Duties:

• Handle day-to-day office operations, including managing correspondence and maintaining records.
• Coordinate with internal teams to ensure seamless order processing and delivery.
• Prepare reports on sales, administrative activities.
• Ensure a well-organized and efficient office environment by managing supplies and equipment.

Qualifications:

• O level in Business Administration, Sales, or a related field (preferred but not mandatory).
• 2+ years of experience in sales support and/or office administration.
• Excellent communication and interpersonal skills.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint) and CRM software.
• Strong organizational and multitasking skills with attention to detail.
• Self-motivated, proactive, and able to work independently.
• Familiarity with the furniture industry or B2B sales is a plus.

Responsibilities for the Account and Admin Executive position

• Handle the closing of accounts and prepare full sets of accounts within deadlines.

• Provides timely and accurate reporting of monthly management accounts, investigating variances, correcting errors where necessary, prepare Balance Sheet, income statement, GL

• Perform data entry for purchasing invoices, receipts, payments, and journal entries.

• Raise payment vouchers and journal vouchers for various disbursements for approval.

• Process claims and address billing issues.

• Monitor monthly cash flows.

• Reconcile all bank accounts monthly.

• Maintain the Fixed Asset Register and ensure alignment with the general ledger.

• Raise debit/credit notes for related party payments.

• Prepare and submit quarterly GST

• Assist in preparing documentation for external audits and tax consultants

• Liaise with external parties such as vendors, landlords, banks, auditors, and statutory/regulatory authorities.

• Monthly payroll and CPF submission.

• Prepare and submit of IR8A.

• Support ad-hoc administrative tasks.

• Provide support for additional matters and ad-hoc projects as required by management.

Requirements

• Diploma in Accountancy or equivalent qualification.

• Minimum of 4 years of experience in handling full sets of accounts.

• Must be proficient in Microsoft Office, Excel. MYOB knowledge will be an advantage.

• Responsible for office’s day to day Office administrative related work and duties.
• Managing Company employees and company insurance.
• Responsible for maintaining up-to-date employee datas.
• Prepare and coordinate worker's work permit application / renewal / cancellation.
• Coordinate with clients for arrangement of site induction.
• Coordinate and arranging worker’s safety courses.
• Manage and follow up on Office Admin functions such as office supplies, equipment, facilities repair and maintenance.
• Preparation of company claim invoice and follow up on payments.
• Prepare and Maintaining the company accounts and GST filling.
• Manage and follow up on workers site working time card and preparation of Employee Salary.
• Preparation of workers’ Pay Slip.
• Other duties as assigned by management.

Working Location: Sin Ming Lane (15mins walk from Upper Thomson MRT)
Working Hours: Mon-Thu 9am-6.30pm; Fri 9am-6pm

Responsibilities:

Accounts

• Handle full set of accounts
• Prepare AP, AR and Journals
• Check, verify and process invoices, expense claim and reimbursements etc.
• Prepare GST filings and CPF submission

HR Admin

• Manage payroll administration
• Perform full payroll process and make necessary tax filings in a timely manner
• Implement and execute HR policies and procedures
• Responsible for all aspects of Work Pass matters
• Prepare paperwork, scheduling and facilitation of smooth on boarding and off boarding process
• Assist in administering benefits, compensation and any other relevant policies, schemes etc.
• Assist in swift updates of personnel database and any other related information within the internal HR system
• Greet office visitors, oversee telephone services, email correspondence, mail distribution
• Maintain office supplies inventory and office efficiency by arranging repairs
• Ensure timely payment and manage budget for any office related expenses

Requirements:

• Min Bachelor’s degree
• Min 5 years of accounting and HR admin experience
• Proficient in Advance Excel is a requirement
• Able to handle both English and Chinese written documents
