About the Role

As an Administrative Assistant/ Officer at Knight Frank, you’ll be the key person in supporting both owners/ tenants and team. Reporting to the Site Head, you will facilitate the onboarding of new owners/ tenants, coordinate service requests and maintain an organized filing system. This position is ideal for a proactive individual with excellent interpersonal skills.

What you will be doing:

• Owners/ Tenants Support: Act as the first point of contact for owners and tenants, answering phone calls, handling enquiries and complaints with professionalism.
• Onboarding New Owners/ Tenants: Assist new owners and tenants in the application process for card access, keys, season parking and manage move-in/move-out logistics to ensure a seamless transition into their new homes.
• Service Coordination: Coordinate on-site inspections for Technician and Property Executive to promptly address residents’ service requests.
• Administrative Excellence: Manage petty cash vouchers and facility bookings. Provide administrative support by compiling weekly and monthly submissions for HQ Accounts. Establish and maintain an efficient filing system to streamline documentation and operations. Keep an accurate inventory of office stationery and track equipment maintenance records.

Job Description

• Loading and sorting of packages at Central Kitchen / Tai Seng Office prior to delivery
• Assist event team to do packing in Central Kitchen / Tai Seng office for events
• Setup and Tear-down of events at different locations when needed
• Perform timely pickups and deliveries for the company-assigned areas
• Drive company vehicles for delivery and events operations
• Ability to lift and carry heavy items
• Maintain a high level of hygiene and cleanliness of delivery vehicle
• Perform any ad-hoc tasks as assigned by Company

Job Requirements

• Valid Class 3 Driving License, need to be familiar with Singapore routes
• Prefers have working experience in F&B
• Prefers to hold a recognized Basic food hygienic certification
• Outgoing personality and highly motivated and take initiative
• Able to work weekends and public holidays when event operation needed
• Unable to drive company vehicle back home; start and end your day at Tai Seng office (free motorbike parking is available)
• Primary task is Driver, Secondary is Support on Event Operation
• Working Days: 5 days / 5.5 days / 6 days per week

Job Description:

-This position will be accountable for planning, coordinating and managing staff and services to ensure efficient and effective F&B operations and that customer service standards are maintained at all times.

-This role will encompass the formulation and implementation of operating procedures and standards, the management and development of team members, and liaise with executive management to ensure that company’ short and long term goals are met.

-Work with team members in service and food preparation to minimize wastage and increase productivity and efficiency. Review operating results with the team and identify opportunities to improve performance.

-Ensure all cashiering procedures are processed in compliance with accounting standards.

-Monitor and minimize wastage of consumables and maintain labor productivity ratios.

-Anticipate heavy business times and organize procedures to handle extended waiting lines.

-Monitor guest reactions and confer frequently with service staff or captains to ensure guest satisfaction.

-Respond to guest comments, requests and complaints in a timely and professional manner. Take personal responsibility to resolve issues.

-Manage Human Resources responsibilities for assigned department(s) to include: creating a work environment that promotes teamwork, performance feedback, recognition, mutual respect and employee satisfaction; quality hiring, training and succession planning processes that encompass the company’s diversity commitment; compliance with company policies and legal requirements.

-Maintains guest profiles on a daily basis and takes appropriate actions as necessary.

Job Requirements:

-Minimum 10 years’ experience in an integrated resort, restaurant group, private club or luxury hotel chain specializing in Chinese cuisine.

-Possess a comprehensive set of F&B service and operations skills and a focus on VIP customer service.

-Enjoy problem solving and can think outside-the-box in difficult situations.

-Team oriented approach to management with a mindset of open communications.

-Capable of building and managing relationships with multiple departments as well as key customers.

-Administration knowledge of F&B operations and Quality management, proficient in Microsoft Office programs.

-Have a well-groomed, professional appearance
