IT Admin Executive

• 5 Days work week from Mon to Fri 9AM to 6:30PM

Job Description

Responsibilities:

• Coordination between internal stakeholders for sales orders process
• Maintain service items inventory control and parts order liaising with vendors
• Preparation and coordination IT Engineers schedules for on-site/ outsource/ inhouse projects & backfills purpose on daily basis
• Handle incoming calls and enquires from clients/ end-users
• Answer email correspondence in a prompt and efficient manner
• Maintain proper records for billing purpose
• Maintain neat and timely update on the service form inputs to our system
• Any ad hoc requirements by the Manager

Requirements:

• Minimum Diploma in Business Management/ IT Studies or related studies
• Proficient in MS Office

Responsibilities

• Assist in the preparation of sales agreements, invoices, billings, and documentation for sales and financing transactions
• Update administrative data in systems and maintain records of such data, including general record keeping and filing duties
• Assist in scheduling of workshop appointments by coordinating and liaising with customers
• Contact customers to respond to inquiries and follow up with existing customer cases
• Provide internal stakeholders with necessary administrative support and undertake any ad-hoc duties as assigned

Skills Required

• Minimum O/N level holder
• Minimum 1 year experience in a customer facing role
• Proficient in MS Office and computerized accounting systems

Other Requirements

• Possess good interpersonal and communication skills
• Meticulous and able to multi-task

• Manage both digital and physical documents systematically.
• Assist with order processing and delivery arrangements with clients and colleagues.
• Managing phone calls and greeting visitors.
• Perform additional office tasks as required.
