Contract Period: 12 months from 31 Mar 2025 with option 1 yr.
Working hours:
1) To provide approximately 42 hours each week.
a) Mondays to Thursdays: 8:30am to 6:00pm, inclusive of 1 hour lunch break; and
b) Fridays: 8:30am to 5:30pm, inclusive of 1 hour lunch break.
During the week where the last Friday of each month falls, working hours:
a) Mondays to Thursdays: 8:30am to 6:30pm, inclusive of 1 hour lunch break; and
b) Fridays: 8:30am to 3:30pm, inclusive of 1 hour lunch break excluding gazetted public holidays and substituted public holidays.
On occasion work:
a) Approximately 2 to 3 occasions within one year where the Service hours of the Personnel may commence later or end earlier/later due to event timing, for example Staff Forum 2025, where Personnel will
be expected to start work at 2pm.
b) Work exigencies where the Service hours of the Personnel may end later, the Personnel shall claim the time off for the extra hours on the next working day by reporting to work later. The Personnel’s work
week shall be capped at 42 hours thus no overtime will be paid for additional hours.
Scope of services:
a) Conducting library holdings check to determine if the library has the material or not
b) Stock-take and check condition of donated items upon receipt
c) Sorting and categorising materials in various formats ranging from books, manuscripts, letters, documents, photographs to ephemera, and in various subject areas
d) Compiling listings of the materials including capturing photos of the items listed
e) Conducting basic research (on the internet) for information relating to the materials, organization or personality
f) Transcribing handwritten manuscripts or inscriptions in photographs, to facilitate categorization and compilation work
g) Packing of the donated collections at NLB premises and/or Donor’s premises and preparing them for transportation to the requested destination
h) Printing and scanning of documents
i) Maintaining and organising filing records
j) Mailing of letters
k) Arranging and scheduling meetings
l Compiling statistics
m) Other ad-hoc assignments such as logistical support for events and other functions
Qualification, skills & experience:
i) Singapore Citizen or Singapore Permanent Resident
ii) Minimum Diploma level or equivalent
iii) Preferably with at least 1 year of administrative experience
iv) IT savvy with strong proficiency in Microsoft Office applications
v) Good communication and interpersonal skills
vi) Proficiency in English language. Proficiency in a second language such as Mandarin (with the ability to read and type in Hanyu pinyin) would be an advantage
