What you will be doing

• Support the S&P brokers by doing Sale & Purchase (S&P) Operations work
• Structure and manage contracts for S&P desk
• Handle invoicing and commission agreements
• Liaise with buyers/sellers or brokers referencing post fixture documents
• Understand the S&P desk’s core client requirements’ and support the broking team when managing clients
• Manage market information from various sources and update the desk database
• Oversee/manage administration work for the S&P desk including coordination of desk operations
• Manage travel, hotel and flight arrangements for the S&P team
• Manage the diary and meetings for the Managing Director of the Singapore office and Managing Director of S&P

What we are looking for

• At least 10 years’ secretarial experience supporting senior management
• Excellent verbal and written communication skills in English
• Strong team player who can work collaboratively with the S&P brokers
• A flexible and positive attitude
• Able to deliver results and provide excellent service to our clients
• Able to build a strong working relationship with our Singapore and overseas colleagues
• Excellent organisational and time management skills
• Able to prioritise tasks and meet tight deadlines
• Excellent attention to detail
• Polite and friendly telephone manner
• Confident and able to work well under pressure
• Able to multi-task
• Able to produce accurate and high-quality work
• Highly proficient in Microsoft Office tools
• Knowledge or familiarity with Microsoft Power BI would be a plus
• Flexible about working hours
• Previous exposure to S&P and shipping operations would be an advantage
